About the role:
The Executive Assistant position is accountable for providing administrative support to the Executive Management team with a direct line of reporting to the Chief Executive Officer. This position handles a wide range of daily and project-related tasks and must maintain a high level of confidentiality. This position is marked by independent initiative and contribution to the office, expertise in the use of company processes and systems, and the ability to respond and handle issues to maximize the efficient use of the executive’s time.
What you’ll do:
- Provide administrative office support to the Executive Management Team in a wide range of tasks and projects as needed.
- Manage the CEO’s calendar through prioritization and clear communication, ensuring calendars are maintained and necessary materials are distributed in a timely manner.
- Compile and distribute Board Meeting materials monthly, through coordination with relevant leadership based on policy review schedule as well as other agenda items.
- Audit and distribute committee minutes and maintain corporate governance files.
- Utilize Microsoft Office Suite products effectively to create documents, schedule travel and calendar appointments and meetings, generate and maintain database contact lists, compose and send company memos and Press Releases, and coordinate company teleconference meetings and office meetings.
- Utiilize internal and external communications systems to effectively share relevant messaging as directed.
- Lead and co-lead office events including but not limited to regional events in various markets, with a focus and increased responsibility for events in the Corporate Headquarters office and offsite events in the Central Ohio market.
- Provide office management duties for the headquarters location including but not limited to incoming and outgoing mail as well as office supply needs.
- Communicate with office staff, IT, and select vendors acting as a liaison to handle office equipment maintenance issues, supply orders, and general office upkeep while maintaining efficiency and ensuring an inviting office atmosphere at HQ.
- Comply with internal security policies and procedures and maintain customer confidentiality at all times.
- Adhere to all regulations, policies, and record-keeping requirements. Complete all required training related to bank regulations and policies.
- Accept other responsibilities and projects as requested to add value for CFBank.
Desired Qualifications:
- At least 5 years of executive-level administrative experience working directly with C-Suite is required.
- Excellent written and verbal communication skills with a high degree of confidentiality and professionalism
- Advanced proficiency in Microsoft Office Suites is required.
- Strong project management skills
- Strong technical capabilities with the capacity to learn new systems effectively.
