Child and Family Guidance Center is hiring a Team Lead Health Services Specialist provides lead supervision, ensuring delivery of quality and cost-effective customer service by the support Health Service Specialist team. Maintains confidentiality of all patient information. LHSS provides administrative support for our patients, management, and clinicians.
- Supervision of Health Services Specialist.
- Provides leadership assuring quality, cost effective and appropriate customer service is being delivered.
- Conducts ongoing training to current HSS as well as any new HSS employee orientation and training promoting customer service and professional development. Superuser on all electronic platforms used.
- Ensures that all department responsibilities are completed with assigned time frames and KPI (key performance indicators) are met.
- Executes telephone call monitoring of assigned staff to include live calls and or historical telephone calls.
- Ensures adequate office supplies or equipment are available on site. Responsible for office supplies and equipment orders.
- Conducts routine maintenance on requisitions and schedules.
- Assists and performs new patient registration, updates patient information, data entry of demographics, and any other required information.
- Assists and verifies insurance benefit coverage to include co-pays, deductibles and co-insurance. Ensures accurate activations of plans and programs and records special notations in patient account software; assists patient with registration. To be completed at patient check in or prior to patient appointment.
- Assists and conducts eligibility screening on patients for various programs available through the Center, including predetermination. Refers patients who do not have insurance coverage to QMHP for assistance with application completion for special funded programs. Performs follow-up eligibility process to include contacting patients for additional information and contacting the funding source for eligibility status.
- Assists and prepares for next day clinic session to include reviewing and confirming appointments, noting alerts for payments and balances, obtaining current insurance information, obtaining referrals updating proof of income, pre-registering patients, and screening patients for program eligibility.
- Processes patient payments, ensures payments are applied correctly in patient accounts. Completes end-of-day reconciliation report; ensures that credit card payments reconcile with practice management report. Submission of collection reports are submitted to accounting or designee at the end of each workday.
- Regularly monitors and ensures assigned providers' schedules are filled at capacity via walk-ins and call reminders to patients with next day appointments by 10:00 AM daily.
- Oversees the general waiting area, ensuring member check-in process is efficient, and reporting problems or irregularities to appropriate authorities.
- Performs patient dismissal to include scheduling of follow up appointments and collects remainder of patient portion of current charges.
- Oversees clinic nightly closure to ensure all patients have been dismissed from building. LHSS or Regional Director will remain on site until last patient has been dismissed.
- Obtain and record patient vitals in electronic health records system.
- Processes medical records requests from patients and third parties.
- Ensures the protection and security of a consumer’s personal, confidential and identifiable information in a professional and responsible manner, according to the standards and requirements of the Health Insurance Portability and Accountability Act (HIPAA).

- Minium of 5 years' experience working a medical office, clinic or hospital setting.
- Minium of 3 years supervisory experience in a medical office, clinic or hospital setting.
- Knowledge of insurance verification and patient registration processes.
- Knowledge of office equipment- facsimile, scanner and phone system
- Some college preferred.
- Bilingual
