What are the responsibilities and job description for the Project Coordinator - Generalist position at CG Schmidt?
The Project Coordinator handles administrative tasks for the Project Manager and team members to keep a project running smoothly. In this position you assist with organization and documentation as it relates to the execution of various construction projects. The person in this role is expected to have the ability to function independently and to assume technical and advanced duties as required. The Project Coordinator contributes proactively to the team by offering efficiencies, suggestions and guidance to other team members.
ESSENTIAL JOB RESPONSIBILITIES
- Maintain web-based project management systems including, but not limited to, the following:
- Viewpoint Vista – General Project Management
- Viewpoint Teams – Submittals and RFI’s
- Project Sight
- PlanGrid – Plans and Specifications
- Building Connected – Bidding
- Coordinate, with the Project Manager, and administer the set-up of all project-related tasks from job startup to closeout
- Work closely with the Project Manager during the subcontract bidding process
- Communicate with clients, subcontractors and vendors via e-mail and phone
- Post drawings and specification updates and distribute plans as needed
- Assist in the RFI and submittal processes
- Organize and document the transmission of contract documents and project information including, but not limited to, the following:
- Potential Change Orders
- Subcontract Change Orders
- Project Closeout Checklist
- Collect closeout documents and assemble Operations & Maintenance Manuals
- Collect and organize information for the preparation of project reports
- Cross-train with other members of the Project Coordinator team for backup coverage
- Special assignments as delegated, i.e. research, presentations

The ideal candidate is both process, and detail-oriented, with strong organizational and multi-tasking skills, along with excellent analytical and problem-solving abilities. The ability to foresee needs, recognize potential problems and address issues is important. A strong, yet tactful, assertiveness in prompting, reminding and following up with your project team members is key.
