What are the responsibilities and job description for the Reception / Front Office Coordinator position at CG Schmidt?
The Reception /Front Office Coordinator assists with answering incoming phone calls, greeting visitors, directing requests and deliveries, handling office duties, and assisting the marketing and business development efforts. It is a fast-paced and at times labor intensive job. Priorities are shifting constantly. The Reception/Front Office Coordinator interacts daily with a variety of internal and external audiences and will serve as the “face” of the company for all visitors and building tenants. This position is based full-time in the Madison office, however at times may be required to attend meetings, training, or other activities at the Corporate Office in Milwaukee, or travel to jobsites.
Position responsibilities include but are not limited to the following:
General Office Support
- Greet and welcome guests, building tenants, answer phones and maintain reception log.
- Run errands to support events and tradeshows.
- Coordinate internal and external meetings, including scheduling, maintaining the Madison calendar, ordering refreshments, arranging IT needs, PowerPoint presentations, conference room booking and set-up/clean-up.
- Stock, clean, and maintain organization of the kitchen and storage and copy areas on first floor.
- Keep first floor of office professional looking, displaying awards and recognitions, coordination of 5S and other Lean initiatives, and working with marketing to manage office environmental branding exhibits.
- Attend Corporate Monday Morning Meetings, Bi-weekly Madison Staff Meetings and Lessons Learned.
Executive Assistant Support
- Provide daily and strategic support to office leadership (Sr. Vice President/General Manager and Sr. Vice President – Business Development).
- Manage the implementation of the Go365 Wellness Program for the Madison Team.
- Assist with the coordination of quarterly Madison Advisory Board Meetings.
- Plan and manage meetings, architectural partner meet and greets, social events, conferences, and trade shows by identifying, assembling, and coordinating requirements, establishing contacts prior to the conference to arrange dinner engagements, developing schedule and assignments for the Madison Team, and coordinate mailing lists with marketing team.
- Provide organizational support for the Madison Diversity Initiative when holding Diversity Pipeline Sessions.
