What are the responsibilities and job description for the Executive Administrative Assistant position at CGI Flooring LLC / Coohey Construction LLC / Coohey Rentals LLC?
We are looking for a responsible, organized, self-starter to fill the open position of Executive Administrative Assistant. This person will perform a variety of administrative and clerical tasks. Duties include providing support to business owner, foreman, and on-site employees; assisting in daily office tasks, managing the companies' general administrative activities, and ensuring efficient day-to-day operation of the office.
Hours: Between 8:00 am and 5:00 pm, Monday through Friday, approximately 20-30 hours per week; flexible in regards to specific work hours within those constraints.
Pay: Starting at $19.00/hour and hourly rate is based on knowledge and experience
Responsibilities:
- Organize and schedule appointments for the owner and business
- Write and distribute email, correspondence memos, etc. to customers and vendors
- Assist in the preparation of regularly-scheduled reports including financial reports
- Develop and maintain an electronic filing system
- Order product supplies and materials, and research new deals and suppliers
- Create and maintain contact lists
- Provide general support and information to potential and current customers via email and phone and to our sales room
- Act as an office manager with oversight of records management, payroll, and QuickBooks
- Act as a point of contact for internal and external clients
- Handle any and all requests and queries from owner and other employees
- Assist management by managing/maintaining calendars and making priority decisions to resolve schedule conflicts; monitoring email communication and highlighting urgent matters requiring attention, preparing activity reports
- Write estimates with the assistance of the owner and invoicing in QuickBooks
- Handle marketing via social media and work with our website and marketing vendors
- Manage owner's schedule/calendar and jobs calendar
Requirements:
- Experience as an administrative assistant, virtual assistant. or office administrative assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, particularly computers and printers
- Proficiency in MS Office (MS Word and Excel in particular)
- Proficiency in QuickBooks and Google Workspace

- Strong background in customer service
- Excellent written and oral communication skills
- Professional demeanor/presence; ability to work on sensitive and confidential matters effectively
- Capacity to work with urgent deadlines, changing priorities and manage multiple high-priority assignments simultaneously
- Possess a high level of organization skills, with a strong focus on results and attention to detail
- Ability to work independently, think critically, and provide proactive solutions with limited to no supervision
