Provide assistance for all aspects of Foster & Adoption Clinical Services.  Serve as contact person and provide a warm, welcoming environment for clients, families, visitors and other service providers.  Initiate referral process for assigned staff and new clients.  Establish and promote efficient office practices and procedures.  Receive, record, store and distribute information in an accurate, thorough, systematic manner.  Able to focus, paying attention to fine detail, demonstrate initiative, communicate well with clients, families and team members, and be compassionate of others

 JOB DUTIES:

  • Serve as reception/contact person and provide a warm, welcoming environment for clients, families, visitors and other service providers.
  • Schedule therapy appointments and provide reminder calls as needed to clients.
  • Managing outlook calendars for intakes, therapy appointments and room calendars documenting efforts in Electronic Health System (FLEX)
  • Promote open communication and complete tasks to provide assistance to the Foster & Adoption Clinical Services Team, including but not limited to:  correspondence to clients, records request, Medicaid billing requirements/reports, data entry, contract expiration dates, delivery and pick up of mail (main campus/FAS/other), maintenance requests for building, tracking and running month billable/non-billable reports, tracking referrals and client listing, documentation/tracking of clinical supervision/meeting minutes etc.
  • Establish and promote efficient office practices and procedures.
  • Complete tasks required to be in compliance with licensing/accreditation/billing/funding sources, including but limited to: tracking due dates, data entry, etc. Complete designated consents for FAS Clinical Services and maintain annual renewal of consents.
  • Accept, enter and forward referrals for new clients.
  • Process reports in a timely manner to clients, referrals sources, and other agency departments as needed.
  • Order, record, and monitor general office and therapeutic supplies for Foster & Adoption Clinical Services.
  • Maintaining record and client files (past and present) in a secure, confidential, efficient, and organized manner in accordance with applicable rules, regulations, and professional standards including Chaddock’s Electronic Health Records (FLEX) such as opening new files, demographic updates, program and funding information, discharging and archiving
  • Seek out and complete ongoing technological training needed to demonstrate proficiency and efficiency in providing supportive services to treatment services department.
  • Chaddock reserves the right to revise or change job duties and responsibilities from particular jobs and to assign other duties as necessary.
