Job Overview: As the School Office Manager, you will oversee the daily operations of the front office, supervising a team of five (5) administrative assistants throughout the program. Your role will be vital in managing administrative tasks, coordinating communication, and ensuring efficient operations while supporting the academic and residential needs of students and staff. The ideal candidate will possess strong leadership skills, an eye for detail, and the ability to manage both day-to-day tasks and long-term projects in a fast-paced school environment.
Key Responsibilities:
- Supervise and lead a team of 5 administrative assistants, providing direction, training, and ongoing support to ensure high standards of service.
- Oversee the organization and coordination of daily front office activities, ensuring all administrative tasks are carried out in a timely and efficient manner.
- Act as the point of contact for all administrative concerns, addressing issues related to student records, attendance, parent communication, and office operations.
- Coordinate communication between students, staff, and parents, ensuring accurate and timely distribution of information.
- Monitor and maintain student attendance records, processing sign-ins/outs, and ensuring compliance with school policies.
- Support the admissions process, including managing student files, processing applications, and assisting with orientation for new students.
- Ensure the smooth operation of the front office by maintaining office supplies, managing equipment, and overseeing scheduling for office staff.
- Assist in organizing school events, parent meetings, and other special programs, ensuring that administrative support is available.
- Collaborate with academic and residential staff to support the smooth running of school activities and address any administrative needs.
- Develop and implement office policies and procedures to improve efficiency and ensure consistency in administrative tasks.
- Assist with recruiting, training, and evaluating new administrative assistants as necessary. leadership
- Prepare reports and assist with other administrative duties as required by school leadership.
- Qualifications: Proven experience in office or administrative management, with at least 2-3 years of supervisory experience in an educational or residential school setting.
- Strong leadership and team management skills, with the ability to motivate and guide a team of administrative professionals.
- Excellent communication skills, with the ability to interact effectively with students, parents, staff, and visitors.
- Exceptional organizational and multitasking abilities, with a keen attention to detail.
- Knowledge of office management software and student information systems (experience with education-related software is a plus).
- Ability to handle confidential information and sensitive matters with discretion.
- Strong problem-solving and decision-making skills, with the ability to remain calm under pressure.
- High school diploma or equivalent; additional certifications or experience in office administration or education management preferred.
