Job Summary : The Maintenance Administrator serves as a key operational support role within the maintenance department, ensuring that maintenance activities are executed efficiently and effectively. This role requires an understanding of technical maintenance processes combined with strong coordination and administrative skills to manage work orders, maintenance schedules, and related documentation.
Essential Responsibilities :
- Maintenance Work Order & Scheduling Management :
Receive, log, and prioritize both preventive and corrective maintenance work orders.
Coordinate scheduling for maintenance tasks to ensure efficient deployment of maintenance technicians.Monitor work order progress and collaborate with technical teams to address and resolve issues promptly.Vendor and Service Provider Coordination :Act as the primary liaison between the maintenance department and external service providers.
Schedule and oversee maintenance services to ensure compliance with technical, safety, and quality standards.Maintenance Documentation and Reporting :Maintain detailed records of maintenance activities, including work order logs, equipment performance data, and safety inspections.
Generate regular reports on maintenance operations, highlighting key performance indicators and maintenance outcomes.Inventory and Equipment Management :Monitor inventory levels for maintenance supplies, spare parts, and tools essential for daily operations.
Collaborate with the purchasing department to ensure timely restocking and effective management of technical resources.Technical and Administrative Support :Provide direct support to maintenance teams by assisting with the coordination of preventive maintenance schedules and technical troubleshooting efforts.
Facilitate effective communication between maintenance technicians, supervisors, and other departments regarding ongoing maintenance operations.Compliance and Safety :Support the maintenance department in ensuring that all activities comply with local, state, and federal regulations.
Assist in tracking and recording safety inspections and maintenance procedures to promote a culture of operational safety.Qualifications :
High School Diploma or equivalent requiredProven experience in an administrative role, with exposure to maintenance or technical operations highly desirable.Familiarity with maintenance procedures, equipment management, or related technical areas is an asset.Proficiency in Microsoft Office Suite and experience with maintenance management software.Strong organizational and multitasking skills, with the ability to manage technical work orders and maintenance schedules effectively.Excellent communication skills, both written and verbal, to coordinate efficiently with technical teams and external vendors.Working Conditions :
Primarily office-based with regular visits to maintenance facilities and work sites to monitor operations.Fast-paced environment where effective coordination between administrative and technical functions is critical.Reporting Structure :
