Summary
The Event Support Staff is responsible for supporting the coordination and execution of special events hosted by the Park District. This role requires excellent organizational skills, attention to detail, and the ability to effectively communicate with team members, volunteers, vendors, and event attendees.
Qualifications
- Must be at least 18 years of age
- Minimum of 1 year of experience in event planning or a related field.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work independently and as part of a team.
- Knowledge of park and recreation programming a plus.
- Must be able to work flexible hours, including evenings and weekends.
Supervision
The Event Support Staff reports to the Special Events Coordinator.
Classification
- Non-Exempt, hourly
- Part-time 2 (not to exceed 19 hours per week or 1000 hours in an anniversary year)
Training – Can be obtained through the Champaign Park District
- First Aid, AED, and CPR Certification
- Heads Up Concussion training
- Harassment prevention training
- Bloodborne pathogen training
- Drivers training and test
- Facility training
Essential Functions
- Follow all Champaign Park District safety policies and perform all work in a manner that ensures the safety of oneself, the public, fellow employees.
- Demonstrate a high level of professionalism and discretion in all interactions, including maintaining strict confidentiality regarding staff information, communications from supervisors, and conversations with parents or patrons. Uphold the Park District’s policies and standards for data privacy and confidentiality at all times.
- Assist in executing various park district events, including festivals, and concerts.
- Coordinate on-site logistical aspects such as scheduling, staff and volunteer assignments, vendor coordination, equipment rental, and setup/breakdown.
- Assist with the physical setup and takedown of event spaces, including arranging furniture, seating arrangements, equipment, signage, and decorations, ensuring all materials are organized and in place according to event plans.
- Assist with attendee-related services, including registration check-ins, answering questions, directing participants, and addressing any issues that arise, ensuring a positive event experience for all guests.
- Responsible for covering attractions, implementing activities, etc. as needed
- Work closely with volunteers and vendors to help with their needs during the event. Provide direction, support, and troubleshooting to ensure everyone is able to perform their duties effectively.
- Collaborate with the event team to manage equipment and supply needs during the event, ensuring that all necessary items are properly accounted for and available when needed.
- Ensure that event spaces are safe, accessible, and in compliance with Park District policies and local regulations.
- Monitor event areas for potential hazards or issues, reporting them to the Event Coordinator as needed.
- Participate in post-event cleanup and organization, ensuring that event spaces are returned to their pre-event condition.

Physiological Considerations
- The activities required to fulfill the duties of this position are physical in nature. These activities may include, but are not limited to, the following:
- Moving around park grounds and building space including uneven surfaces and stairs.
- Long shifts depending on the special event
- Lift up to 50 pounds as part of set-up, tear-down and moving equipment during a special event
Environmental Considerations

Most work is in an outdoor environment. Outside weather conditions including extremes of heat, cold, wet, and dry. Any one of these endeavors may occur for an entire workday or for several workdays in a row.
