Position Overview
The Administrative Assistant will be responsible for managing office operations, coordinating communication between employees and clients, and providing support across various business functions, including documentation, scheduling, and financial recordkeeping. The ideal candidate is highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment.
Key ResponsibilitiesGeneral Administrative Tasks:
- Manage daily office operations, including scheduling meetings and appointments.
- Prepare, organize, and maintain documentation, records, receipts, and files (both digital and physical).
- Answer and direct phone calls, emails, and other correspondence in a professional and timely manner.
- Draft, proofread, and edit reports, memos, and official documents.
- Coordinate office supplies, manage inventory, and oversee equipment maintenance.
Communication and Coordination:
- Act as a point of contact between employees, management, and external clients.
- Facilitate clear communication by organizing and distributing information to relevant parties.
- Assist in coordinating events, meetings, or conferences, including preparing agendas and taking minutes.
Project Support:
- Support planning and execution of company initiatives or projects.
- Maintain timelines, track deliverables, and ensure tasks are completed on time.
- Collaborate with team members to gather information, resolve issues, and improve workflows.
Financial and Data Management:
- Process invoices, purchase orders, and expense reports as needed.
- Assist in tracking budgets, financial transactions, and maintaining accurate records.
- Generate reports, spreadsheets, and presentations for internal and external use.
HR and Team Support:
- Maintain and update employee records and schedules, including onboarding materials.
- Support recruitment efforts by coordinating interviews and maintaining candidate files.
- Organize and execute employee engagement activities or programs.
Problem-Solving and Adaptability:
- Troubleshoot office issues, including IT support coordination or facility management.
- Anticipate the needs of executives, managers, or team members, and provide proactive solutions.
Qualifications and Requirements:
- Experience: 2–3 years of experience in an administrative role (preferred).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); additional software knowledge is a plus.
- Organizational Skills: Strong ability to multitask, prioritize tasks, and maintain detailed records.
- Communication Skills: Excellent verbal and written communication abilities.
- Attention to Detail: Strong proofreading, data entry, and financial record-keeping skills.
- Problem-Solving: Ability to anticipate needs and provide proactive solutions.
- Confidentiality: High level of discretion with sensitive information.
