The Chan Zuckerberg Biohub New York (CZ Biohub NY) (https://www.czbiohub.org/ny/) is an independent nonprofit research institute that brings together three powerhouse universities - Columbia University, The Rockefeller University, and Yale University - into a single collaborative technology and discovery engine. The Opportunity

We are seeking an Events Coordinator to lead coordination of events related to the Biohub NY, including but not limited to our Investigator Program, Affiliate Network, academic conferences, symposium, and seminars, community engagement, and more. These events may include Investigator Meetings, Affiliate Network Symposium, hackathons, academic seminars and conferences, and community engagement. This position reports to the VP, Organizational Growth and Strategy. The ideal candidate will have an extreme attention to detail as well as the ability to multi-task and juggle various event coordination, administrative, and team collaboration activities while assisting with other duties as necessary. The ideal candidate will spark a collaborative community and excel at working in a fast-paced, dynamic environment with multiple team members, external collaborators, and senior leaders.

What You'll Do

  • Serve as the primary coordinator, representative, and day-to-day point of contact for events organized, hosted, or led by CZ Biohub NY, ensuring seamless delivery of events, trouble shooting expertise, and direct resource for CZB leadership and key stakeholder needs
  • Coordinate and manage seamless event logistics, including venues, catering, tech, and scheduling, tailored to budget and goals
  • Manage contracts with vendors (catering, venues, entertainment, etc.), oversee vendor performance, and ensure timely delivery of services
  • Create and manage event budgets, track expenses, and ensure adherence to financial guidelines and policies
  • Work with CZB/CZI Comms team on collateral, materials, communications, and social media elements related to events
  • Design, enhance, and manage tools, resources, and workflows to improve productivity and event participant experience in alignment with organizational goals and values (e.g., open science, collaboration, inclusivity, and more)
  • Track engagement, attendance, and outcomes to inform future programs
  • Support and collaborate with the VP, Organizational Growth and Strategy and the broader CZ Biohub team to:
    • Plan an annual calendar in advance of each year in alignment with CZI/CZB activities, global/local ecosystem events, and key stakeholder availability
    • Develop event concepts, themes, and timelines; defining goals in collaboration with key stakeholders
    • Curate a slate of event participants, speakers, panels, and activities that leads to a world premier community around the CZ Biohub New York's mission and vision
    • Support outreach, marketing, and engagement to garner high participation and value of programming (with CZB/CZI Comms team, where appropriate)
    • Define and measure OKRs (Objectives and Key Results) and feedback loops to refine strategy
    • Coordinate and communicate with CZ Biohub NY, other CZI/CZB entities, and institutional teams on relevant event planning needs
  • Be proactive and solution-oriented. Surface any issues, concerns, or areas of opportunity for event management to the appropriate team
  • Other related duties, as assigned

What You'll Bring

Essential –

  • 3 to 5 years of event planning experience
  • Proficiency in MS Office and Google Workspace applications, with ability to readily adopt new software
  • High integrity and highly aligned with the mission and values of CZ Biohub values
  • Outstanding interpersonal and communication skills (verbal and written)
  • Customer service orientation
  • Flexibility, adaptability, ability to work independently
  • Ability to thrive in an unstructured and rapidly changing workspace
  • Ability to manage multiple priorities and requests concurrently
  • Strong organizational and problem-solving skills
  • Independent self-starter, with the ability to effectively work collaboratively across teams is essential

Nice to have –

  • Bachelor's degree
  • Familiarity with Zoom and Slack applications

The Chan Zuckerberg Biohub Network requires all employees, regardless of work location or type of role, to provide proof of their initial COVID-19 vaccination by their start date. Compensation

  • $92,000 - $105,000

New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. To determine starting pay, we consider multiple job-related factors including a candidate's skills, education and experience, market demand, business needs, and internal parity. We may also adjust this range in the future based on market data. Your recruiter can share more about the specific pay range during the hiring process.
