Technical Communications Specialist - Washington DC

We are seeking a highly skilled and experienced Technical Communications Specialist to manage and enhance our technical writing and communication efforts within the Human Resource Management Front Office. The ideal candidate will be a subject matter expert in creating, editing, and managing complex communication materials, ensuring clarity, consistency, and alignment with organizational goals.

Key Responsibilities:

  • Manage complex communication activities and oversee the development, execution, and continuous improvement of communication documents and strategies.

  • Ensure all documentation aligns with organizational communication frameworks, branding guidelines, and quality standards. This includes overseeing the design, development, and implementation of materials for various stakeholders.

  • Develop, promote, and execute communication activities in alignment with the organization’s strategic communication plan, ensuring timely delivery according to Front Office guidance.

  • Work closely with management at all levels and various programs to gather and synthesize relevant data from internal and external sources, ensuring effective communication strategies.

  • Support the identification of necessary information and determine the best format for presenting that information to different audiences.

  • Write, edit, and coordinate the development of various communication products, including newsletters, reports, executive speeches, presentations, and web content, ensuring consistency of messaging.

  • Prepare content for communication events and provide review and edits for materials to ensure clarity and consistency of messaging across all communication vehicles.

  • Utilize advanced writing and editing techniques to develop high-quality documentation for a variety of formats such as text, audio, graphics, or multimedia. Ensure all documentation is clear, concise, and easily understandable.

  • Oversee version control, establish quality assurance processes, and manage document changes to maintain accuracy and consistency throughout the documentation lifecycle.

  • Coordinate with internal and external stakeholders to ensure documentation is accurate, aligned with organizational standards, and reflects the necessary approvals.

  • Develop strategies for leveraging the best medium and content to ensure documentation is impactful and serves the needs of the organization.

  • Maintain records of decisions and prepare materials for management review, ensuring proper documentation and version control protocols are followed.

Desired Experience and Skill Set:

  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, OneNote), Adobe Pro, Visio, and SharePoint.

  • Expert-level writing and editing abilities, with an emphasis on clear and concise communication. Proficiency in creating content for diverse platforms such as reports, articles, executive speeches, and websites.

  • Ability to quickly understand complex technical concepts and transform them into accessible, user-friendly documentation across various formats (e.g., text, graphics, presentations).

  • Strong verbal and written communication skills to engage with senior leadership, subject matter experts (SMEs), and cross-functional teams.

  • Ability to manage time-sensitive and highly visible materials, balancing multiple projects simultaneously while maintaining high standards.

  • Familiarity with the FAA/ATO (Federal Aviation Administration/ Air Traffic Organization) is preferred.

  • Willingness to sign a non-disclosure agreement (NDA).

Required Skills:

  • Expertise in writing, editing, and coordinating communication content for diverse audiences and platforms.

  • Ability to work across various teams and levels of management to gather information and align communication efforts.

  • Ability to implement version control, document management systems, and ensure the accuracy and clarity of all communication materials.

  • Expertise with technical tools such as Microsoft Office Suite, Adobe Pro, Visio, SharePoint, and other documentation and collaboration platforms.
