PRIMARY FUNCTION:
The Administrative Support person for the Service Department is responsible for a variety of job duties. These consist of learning about different types of power washers and other related equipment to be serviced. Responding to customer calls, preparing, tracking and invoicing rental equipment as well as dealing with customers in a positive manner.
DUTIES AND RESPONSIBILITIES:
- Be able to complete repair orders.
- Have sound judgment and ability to think on your feet.
- Learn how to invoice and track equipment serviced for pick up.
- Be willing to learn about power washers and other equipment being serviced.
- Respond to customers calls and in-house feedback while showing a positive attitude.
- Track inventory sold to request replacement items from Purchasing.
- Prepare, track and invoice equipment rented.
- Process invoices for all non-stock and process credit cards.
- Be able to work well with Microsoft Office and other windows-based programs.
- Back up to the receptionist.
- Assist Service Manager with scheduling, responding to customers preparing quotes and tracking monthly sales.
- Maintain procedures and processes in order to ensure compliance with Companys quality standards.
QUALIFICATIONS/EXPERIENCE:
- Have a great customer service attitude.
- Experience working in an auto repair shop or auto parts shop preferred.
- Must have a good attendance record.
- Willing to do what is needed and stay on task.
- Have a stable work history.
- Be self-motivated, positive and enthusiastic.
- Have at least 2 years of administrative experience.
ESSENTIAL JOB FUNCTIONS:
- Be able to lift up to 40 pounds
- Be able to frequently stand, sit and move about inside the office to access file cabinets and office machinery.
- Must be able to remain in a stationary position 50 percent of the time.
- Constantly operates a computer and other office productivity machinery.
- Ability to understand, remember and apply oral and/or written instructions or other information.
- Ability to organize thoughts and ideas into understandable terminology
- Will often communicate with the public in person and by phone
- Have the ability to add, subtract, multiply, divide and check results.
- Ability to compose letters, outlines, memoranda, and basic reports and/or to orally communicate technical information.
- Able to multitask, organize and prioritize job tasks.
