E SSENTIAL D UTIES & R ESPONSIBILITIES
Quality Provision of Services :
Participates in quality assurance, improvement and compliance projects for the organization.
Follows up on Deficiency Reports; assists with education and compliance.
Supervises and assists with the timely alphabetizing, collating, and scanning of submitted paperwork into the electronic medical record.
Organization / Regulatory Compliance :
Supervises and assists with the assembling and tracking of admissions paperwork to establish a medical record for each patient.
Supervises and assists with medical record admissions audits to assure proper documentation for : Consents; Elections of Benefits; Certifications of Terminal Illness by the Attending Physicians and Hospice Medical Directors; and other documentation requirements as required.
Supervises and assists with the tracking and timely processing of physician signatures on all Admit Orders, Physician Plans of Care and other orders; monitors staff completion of the electronic medical record system entries and integrity of orders with charts.
Supervises and assists with the tracking and timely completion of medical records for discharged and deceased patients by concurrently auditing and notifying staff of any deficiencies. (The medical records are to be audited and finalized within 30 days; as it is a requirement of Capital Caring Health that the medical records are complete within 30 days.)
Assures that patient medical records are maintained in an orderly and secure manner according to accepted standards of practice. (HIPAA Privacy and Security Rules)
Fulfills requests for Patient Health Information according to all HIPAA regulations and hospice policies.
People / Communications :
Assists with the education and training of the HIM Specialists in job function issues.
Trains and assigns the work of volunteers in the regional HIM offices.
Prepares paperwork for Team Meetings and for the Hospice Medical Directors as needed.
Performs staff evaluations according to timely schedule.
Financial Stewardship :
Oversees the compilation of the monthly Billing errors and monitors the Billing Releases for each.
Achieves expected productivity standard as defined by the organization and in alignment with best practices / the Capital Caring Health model.
Experience Requirements
The HIM Supervisor must have at least 3 years of general medical records experience in a hospice, nursing facility, or hospital setting. Supervisory experience is required.
Education Requirements :
The HIM Supervisor must have at least an Associates degree in HIT, HIM, or a related field.
Required Certificates and / or Licenses :
The HIM Supervisor must have an accredited Health Information Technician certificate (RHIT).

The ability to demonstrate superlative oral and written communication skills, in English, as well as ability to organize and manage projects within defined timeframe and budget; work both independently and as part of a team; demonstrate excellent interpersonal and collaborative; demonstrate organizational skills with ability to delegate and follow up; manage multiple tasks and stressful situations with a positive attitude; work with minimal supervision; demonstrate a strong work ethic and attention to detail; demonstrate basic knowledge of medical terminology.
Technological Skills :
The ability to demonstrate basic computer skills; work with electronical medical record systems; and work with Microsoft Office programs, specifically Excel.
