Charleston ENT is hiring for a Surgery Scheduling Lead! This role provides administrative leadership in coordinating surgical procedures while managing the department's day-to-day scheduling operations. This role involves scheduling surgeries for assigned physicians, overseeing scheduling workflows, and serving as a liaison between internal departments and surgical facilities.
This is a dual role, where leadership responsibilities make up no more than 30% of daily duties, with the remainder dedicated to direct scheduling tasks.
Key Responsibilities:
- Coordinate and schedule surgeries and follow-up appointments as directed by physicians.
- Serve as a primary point of contact for patients, physicians, and external surgical facilities, ensuring clear and timely communication.
- Organize and route all necessary pre-operative documentation, ensuring compliance with physician and facility requirements.
- Maintain efficient phone communication and document scheduling processes as required.
- Adhere to all clinic protocols, policies, and procedures.
- Provide excellent customer service, demonstrating professionalism and empathy toward patients and families.
- Identify and address scheduling barriers to optimize efficiency and meet performance goals.
- Calculate surgical costs, review insurance coverage with patients/families, obtain prior authorizations, and process surgery deposits.
Qualifications & Skills:
- Associate’s or bachelor’s degree preferred.
- 1 years of experience in surgery scheduling or a related field.
- Strong knowledge of medical terminology, clinical procedures, and healthcare administrative practices.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in medical scheduling software and practice management technology.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to collaborate across departments and build relationships with internal and external stakeholders.
- Sound judgment, problem-solving abilities, and attention to detail.
- Ability to work independently while also contributing to team goals.
- Experience handling confidential information with discretion and professionalism.
