SCOPE OF WORK TERMS
TITLE : 2025 Closed Events Producer
PRIMARY CONTACT : Production Manager
TERM : Contract January 15, 2025 - March 14, 2025
LOCATION : Charleston, SC
- most of this contract will be remote , but in-person participation will be required for certain portions
CONTRACT FEE : $2,700 to be paid in installments
This fee is all-encompassing, and Charleston Wine Food will not reimburse for any additional expenses unless previously negotiated and outlined in this contract.
OVERVIEW :
The Closed Event Producer's role is primarily, but not limited to, executing all responsibilities associated with production of their assigned events for the Charleston Wine Food festival.

PRE-FESTIVAL
Input rental tenting ordersInput signage ordersBook all design elements that fit mood boardEnsure all production, logistics, food, and beverage needs are taken care ofReview and finalize one-sheet, including run-of-show for day-of productionWork with Development, Executive, Marketing, and Experience teams to learn about goals of events and special guests attendingMake changes within provided information to ensure that all information pertaining to events stays up-to-date and accurate. Flag any necessary changes to Production ManagerFESTIVAL
Oversee signage installation and design momentsBe onsite to act as Event Lead throughout the entirety of events, including set-up breakdownEnsure that all rentals, decor, and logistical needs are set-up following the layout and mood boardFollow through with venue contract or Host Partnership Agreement restrictionsActivate applicable Partner footprints as directedEnsure check-in process is flowing as neededTroubleshoot any unexpected needs or desires expressed by participating PartnersClearly communicate and confirm if moving into contingency plans by week prior deadlineEnsure cleaning plan is followedManage and implement one-sheet, run-of-show, and additional applicable documents at eventsAct as main day-of liaison for all vendors, volunteers, and participants assigned to eventsOversee load-in and load-outIMPORTANT DATES DEADLINES :
