What are the responsibilities and job description for the Accounting Coordinator position at Charlotte Country Club?
General Description:
The Accounting Coordinator plays a key role in supporting the Club’s financial operation. This position is responsible for managing the financial obligations of the club through review and processing of vendor invoices, ensuring timely payments, and liaising with various constituents, internal and external, to resolve any discrepancies. This role serves as a back-up to the Staff Accountant role when needed.
The ideal candidate for this role is detail-oriented, organized, and proactive in managing financial transactions. A strong understanding of accounting principles, proficiency in accounting software, and the ability to work efficiently in a fast-paced environment are all necessary. A successful candidate is adaptable, deadline-driven, and a team player committed to maintaining accuracy & compliance.
Essential Functions
- Lead and administer the accounts payable function, including vendor setup, review and audit of invoices and purchase orders, accurate data entry, and processing of payments through weekly check runs via check or direct deposit
- Lead and administer the purchasing/credit card program ensuring adequate coding and receipt documentation
- Maintain filing system of invoices
- Prepare journal entries as requested, along with supporting documentation, for review and approval
- Assist with member billings, member calls, and member drop-ins as needed
- Serve as backup for accounts receivable and payroll functions for the Club
- Create and maintain documentation of processes and procedures
- Assist and identify process improvement opportunities
- Provide exemplary customer service both internally and externally
- Assist Chief Financial Officer and Controller on various accounting tasks as needed
- Handle sensitive information and always maintain the highest level of confidentiality
- Perform other duties as assigned

Education/ Experience:
- Bachelor’s degree in accounting, business, or related field preferred, or equivalent combination of education & experience
- 1-3 years of experience in a similar accounting role
Hours/Schedule:
- This is a non-exempt part-time position that works an average of 10-20 hours per week, Monday-Friday between 8 am to 5 pm (ability to be flexible).
