Position Purpose: We are seeking a highly organized and detail-oriented Human Resources Specialist to join our dynamic HR team. The ideal candidate will play a key role in managing our Human Resource Management System (HRMS), processing payroll, administering benefits, ensuring compliance with applicable regulations, and supporting retirement plan administration. This position requires an individual with a strong understanding of HR systems, payroll functions, benefits programs, compliance standards, and retirement plans to provide excellent service to our employees while maintaining compliance with federal and state regulations.

Position Purpose: We are seeking a highly organized and detail-oriented Human Resources Specialist to join our dynamic HR team. The ideal candidate will play a key role in managing our Human Resource Management System (HRMS), processing payroll, administering benefits, ensuring compliance with applicable regulations, and supporting retirement plan administration. This position requires an individual with a strong understanding of HR systems, payroll functions, benefits programs, compliance standards, and retirement plans to provide excellent service to our employees while maintaining compliance with federal and state regulations.
Key Responsibilities
HRMS Management & Reporting
- Manage and maintain the HRMS to ensure accurate and up-to-date employee records, data entry, and system functionality.
- Develop and generate HR reports
- Troubleshoot and resolve HRMS-related issues in collaboration with IT or HRMS vendors.
- Responsible for maintaining accurate and up-to-date HRMS records related to employee evaluations, and related documentation
- Implement system upgrades, enhancements, and communicate new HRMS features as needed to improve HR operations.
- Partner with the Human Resources Associate in the accurate and timely processing of monthly payroll for 450 employees.
- Ensure compliance with applicable federal, state, and local tax regulations.
- Review payroll data for errors, discrepancies, or missed deductions and work with the Human Resources Associate and employees to resolve issues.
- Maintain detailed records for payroll reporting and auditing purposes.
- Coordinate with the Finance department to ensure accurate allocation of payroll expenses.
- Administer employee benefits programs, including health, dental, vision, life insurance, and other voluntary benefits offerings.
- Process and reconcile monthly benefits invoices, ensuring accurate allocation of benefit expenses
- Serve as the primary point of contact for employees regarding benefits enrollment, changes, and claims assistance.
- Conduct benefits orientations and ensure employees understand their available benefits options.
- Oversee and Manage the Annual Open Enrollment Process
- Lead and coordinate the annual Open Enrollment for benefits, ensuring a seamless integration within the HRMS and with insurance carriers.
- Provide guidance and support to employees throughout the process, ensuring they understand their options and make informed decisions.
- Collaborate with insurance carriers to ensure timely updates, accurate plan selections, and smooth transitions during enrollment periods.
- Monitor and address any issues or discrepancies promptly to ensure a smooth and efficient Open Enrollment experience.
- Ensure compliance with benefits-related regulations (e.g., ACA, HIPAA, ERISA).
- Monitor and ensure adherence to federal, state, and local HR regulations, including labor laws, OSHA standards, and non-discrimination policies.
- Assist in preparing for workers’ compensation, retirement plan and financial audits, reviews, and inspections related to HR compliance.
- Stay updated on regulatory changes that affect HR functions, including payroll, benefits, and retirement plans, and implement necessary changes in company processes.
- Collaborate with the Director of Human Resources to ensure compliance with all relevant laws and regulations.
- Administer the company’s retirement plan, including enrollment, contribution tracking, and compliance with government regulations.
- Provide employees with retirement plan-related information, including enrollment assistance and retirement planning resources.
- Monitor plan performance and assist with annual audits and filings.
- Serve as a liaison between employees and the plan administrator, resolving any retirement plan-related issues.
- Education: Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent work experience in a similar role.
- Experience: Minimum of 3-5 years of experience in Human Resources, with a focus on HRMS management, payroll processing, benefits administration, and compliance.
- Certifications: SHRM, PHR, or similar HR certification strongly preferred.
- Customer Service:
- Provide exceptional customer service to all employees, addressing inquiries and resolving issues with professionalism and efficiency.
- Maintain a positive, approachable attitude when interacting with employees at all levels of the organization, ensuring their HR needs are met in a timely and accurate manner.
- Technical Skills:
- Proficient in HRMS software, with strong preference for prior experience using ADP Workforce Now.
- Highly skilled in Microsoft Excel, Word, and Outlook, with Microsoft Access as a plus.
- Compliance Knowledge: Solid knowledge of HR regulations, including FMLA, ADA, ACA, ERISA, and HIPAA.
- Attention to Detail: Excellent attention to detail, with a strong focus on accuracy and compliance.
- Communication Skills: Strong written and verbal communication skills, with the ability to communicate complex HR-related topics clearly and effectively.
- Problem-Solving: Strong analytical and problem-solving skills to address HR-related issues and challenges.
