Position Overview
We are seeking an Events and Fundraising Specialist to join our dynamic Development team. This role is essential to planning and executing impactful events that highlight CASPCA’s mission, raise critical funds, and build meaningful relationships with supporters, sponsors, and the larger community.
The ideal candidate is a creative, detail-oriented, and organized professional with a talent for juggling multiple projects and a passion for event planning. They excel in fast-paced environments, thrive on collaboration, and have a knack for making limited resources stretch to create exceptional outcomes.
This position reports directly to the Director of Advancement and is overseen by the Development Manager and works closely with internal teams, community partners, and vendors to ensure CASPCA’s events make a lasting impression.
Key Responsibilities:
Event Planning & Execution
- Plan and execute signature events, including the Critter Ball, Fall Fest, and bow-WOW-Walk.
- Generate, secure and liaise third party fundraisers with community partners, consistently hitting monthly fundraising goals.
- Serve as primary project manager for various campaign components and other related projects, working closely with the Director of Advancement and Development Manager to ensure successful execution and completion for projects.
- Coordinate logistics such as venue selection, catering, entertainment, permits, and event-specific needs.
- Stay apprised of supporter interests through regular review of community news, and digital content.
- Develop detailed event timelines and ensure timely completion of all deliverables.
- Collaborate with the Marketing team on promotional materials, social media campaigns, and event branding.
- Foster and maintain relationships with vendors and sponsors to maximize event impact and encourage collaboration.
- Work interdepartmentally to align events with CASPCA’s goals and mission.
- Oversee all event components, including décor, vendor contracts, volunteer coordination, and post-event follow-up.
Budget Management
- Create and manage event budgets, ensuring cost efficiency without compromising quality.
- Track expenses and revenue, providing post-event financial and impact reports.
Volunteer & Team Coordination
- Recruit, train, and manage event volunteers, ensuring they are well-prepared and supported.
- Coordinate with internal teams and external partners to ensure seamless execution.
Post-Event Reporting
- Collect and analyze event feedback and metrics to improve future events.
- Maintain organized records of attendance, donor engagement, and financial outcomes.
Qualifications
- Minimum of 3 years of experience in event planning, preferably in nonprofit or fundraising environments.
- Proven ability to manage multiple projects and events simultaneously while meeting deadlines.
- Strong communication skills, with a positive and collaborative attitude.
- Demonstrated ability to stretch budgets creatively and deliver high-quality results with limited resources.
- Proficiency in Google Sheets, invoicing, and meticulous record-keeping.
- Exceptional organizational skills and attention to detail.
