Position Summary
The Executive Assistant to the Chief of Staff (COS) will provide high-level operational support and project coordination, manage day-to-day administrative tasks and priorities, support strategic initiatives, and serve as a liaison between the COS and key internal/external stakeholders to allow the COS to remain focused on critical initiatives and strategic planning. This role requires a proactive, diplomatic, highly organized individual with excellent communication skills and the ability to handle sensitive and confidential information.
Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel for the Chief of Staff.
- Serve as the primary point of contact for internal and external communications directed to the Chief of Staff
- Assist in preparing reports, presentations, and other documents
- Organize and coordinate executive team meetings, including preparing agendas, materials, and meeting minutes
- Assist with strategic initiatives and special projects as directed by the Chief of Staff, including inputting related data into our internal CRM.
- Coordinate and manage budget for travel arrangements, itineraries, and accommodations for the Chief of Staff and other executives as needed
- Support event planning and execution for key corporate meetings, retreats, and other executive functions
- Provide administrative support, including processing expenses, managing files, and handling overall office duties
- Proactively identify ways to improve administrative processes and workflows
Qualifications
- 3 years of experience in support role, preferably in a fast-paced professional environment
- Ability to travel short and long distances. Overnight travel should be considered.
- Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual communication tools (Zoom, Teams, etc.)
- Discretion and ability to handle sensitive and confidential information.
- A proactive, problem-solving attitude with strong attention to detail and ability to work independently
