The Hand, Heart, and Soul Project (HHSP) is an emerging non profit and promotes healthy habits for our earliest learners in Clayton County. We provide children and families access to nutrient-dense foods and we develop holistic programs focused on health, wellness, education, and nutrition. Our mission is to nurture, celebrate, and advance the needs of the people we serve by creating equitable access to quality educational, nutritional, and community resources.

ABOUT THE ROLE

The Director of Finance Operations is a new role and plays a central role in the development, maintenance, direction and oversight of all financial and accounting activities. The Director of Finance Operations position requires excellent attention to detail, problem-solving skills, and excellent communication skills. The ability to exercise professional discretion and discernment, independent judgment, and business acumen, is also critical. Without exception, the Director of Finance Operations position requires a proven track record of trustworthiness, personal accountability, and exceptional ethics. In addition, the Director of Finance Operations should know contracting and mastery of QuickBooks Online and Excel.

The Director of Finance Operations will also play a crucial role in overseeing all financial aspects of our organization, ensuring fiscal responsibility, transparency, and efficiency in our operations. The Director of Finance Operations will work closely with our Executive Director and oversee the Strategic Partnerships, Database Administrator and work closely with the bookkeepers and accountants.

The Director of Finance Operations will be responsible for all accounting and financial reporting and oversee revenue generation for the organization which has an operating budget of $1.6 million. The position will be a member of the senior leadership team and will play an active support role to the Finance Committee of the Board of Directors, and the Executive Director (CEO). In addition, the Director of Finance and Operations will serve as a contributing team member who willingly supports organizational efforts in alignment with the strategic plan and models the organizational values.

This role is ideal for someone who enjoys to build systems (expertise with tech in airtable, notion QBO, odoo, etc) to automate or semi automate budget tracking across grants.

KEY RESPONSIBILITIES

Financial and Operational Management 40%

  • Develop accurate cost projections to inform budgeting and strategic planning decisions
  • Supervise all accounting functions including accounts payable and receivable, payroll, month and year-end close functions, banking, and fiscal sponsorship
  • Direct the preparation of internal monthly financial statements and reports and provide supporting interpretation and analysis.
  • Serve as primary liaison with our independent auditors.
  • Serve as staff liaison to the Board Audit Committee and facilitate monthly committee meetings. Support Executive Director and Treasurer engagement with the Board by conducting financial onboardings for new Board members and sharing financial updates at Board meetings as needed.
  • Collaborate with the HHSP Board of Directors Executive Board to set organizational priorities and report to the board as requested
  • Approve invoices, monthly staff expense reports, and bi-weekly payroll; ensure timely filing and payment of payroll taxes in partnership with payroll provider.
  • Work in partnership with accountants and bookkeepers to manage all aspects of accounting, billing, financial statements, general ledger, cost accounting, payroll, accounts payable, accounts receivable, budgeting, tax compliance, revenue recognition, annual audit, and various special analyses that help senior leadership understand company financials
  • Manage budgeting processes throughout the year, including conducting financial forecasting, maintaining cash schedule, and monitoring the organizations cash flow position
  • Manage monthly financial processes, including payroll, financial monthly statements and closing, board reports, and invoicing. Oversee an effective and timely billing system that assures that all services are billed correctly, includes proper documentation, and minimizes the time necessary to collect payments.
  • Supervise the documentation of all accounting systems and procedures for optimal performance, controls, and efficiency.
  • Monitor and analyze financial performance against budget and provide regular reports and analysis to senior leadership and the Board of Directors.
  • Lead the annual budget creation and management processes and conduct regular reviews of financial activity against the budget.
  • Define, benchmark, document, maintain, and implement accounting policies and operational best practices.
  • Develop and implement financial policies, procedures, and internal controls to ensure compliance with legal and regulatory requirements, as well as best practices in nonprofit financial management.
  • Plan, coordinate, and manage the annual financial and single audit process, including preparation and review of analyses, process narratives, and other ad hoc requests.
  • Partner with the strategic partnership and development staff to develop and maintain tools for managing grants and support grant budget preparation, tracking, and reporting.
  • Write and manage contracts with consultants and service providers-

Revenue Generation and Monitoring 40%

  • Collaborate with CEO / ED to diversify organizational income through individual and corporate giving, fee for service and consulting, partnerships, and other opportunities
  • Transition grant and program budget management to an automated or semi-automated system
  • Develop and support grant proposals and manage grants and reporting requirements.
  • Manage individual giving campaigns and donor management platform
  • Support the implementation of the strategic plan, including responsibility for all financial-related metrics and development initiatives to ensure sound and accurate financial management practices permeate throughout the organization.
  • Supervise processes to facilitate the creation of budgets for grant proposals and manage overall financial operations to ensure accuracy in financial reporting and compliance with funder requirements.
  • Support on fundraising strategy where applicable.
  • Senior Leadership 20%

  • Manage 1-2 direct report on the finance team, including attend & lead weekly check ins, monitor team workflows, prioritize and delegate tasks, recognize and address performance gaps and achievements, provide consistent and timely feedback, and support professional development. Make yourself available to meet with your team and your reports as requested.
  • Attend the Leadership Team calls, helping to shape staff experiences at Hand, Heart, and Soul Project and stay up to date on organization-wide processes. Hold reports accountable to their completion of organization-wide and role-specific processes on various projects and programs
  • Inform team of any organizational decisions / processes, make space for feedback, escalate feedback, and to ensure alignment with confirmed decisions.
  • Perform managers administrative duties, such as approving time cards, time off requests, and expense reports, on time.
  • Build strong internal relationships to ensure that accounting functions support program delivery.
  • Oversee the annual budgeting process, working closely with program directors and senior leadership to develop realistic and strategic budgets that align with organizational goals and priorities.
  • Support the Executive Director and other leadership staff in strategic and annual planning
  • Support the implementation of the strategic plan, including responsibility for all financial-related metrics and development initiatives to ensure sound and accurate financial management practices permeate throughout the organization.
  • Directly collaborate and manage staff and contractors, including the Database Manager, grant writers, accountants, and bookkeeper
  • Lead goal setting, tracking, and accountability for the team. Make high level strategic decisions regarding the direction of the teams work in alignment with strategic plan goals.
  • Advise Executive Team on major organizational decisions, and serves as a problem-solving partner to other managers on staff

  • Each team member individually completes time cards and expense reports on time, attend weekly staff calls, supervisory meetings, team meetings, staff retreats, signature events, and other staff social spaces, and participate in providing feedback and implementation of annual processes.
  • QUALIFICATIONS

  • At least five years of demonstrated experience in the following :
  • Degree in finance, business administration, or accounting is required with a minimum of 4 years of progressive professional finance experience
  • Financial management, preferably in the nonprofit sector, with an understanding of nonprofit accounting principles and practices
  • Successful track record of securing grants, donations, and corporate gifts
  • Experience in managing federal and government contracts, grants, systems, and portals preferred
  • Proficiency in financial software and systems, with experience using Quickbooks, DEXT, Network for Good, and Gusto preferred
  • Excellent analytical and problem-solving skills, with the ability to interpret financial data and provide actionable insights to support decision-making
  • Experience with funder and donor relations
  • Experience managing and mentoring staff to encourage organizational and individual growth
  • Computer skills required : accounting software such as QuickBooks Online, Jot Form, various purchase order systems, contract management systems; Microsoft Office suite; and Gusto payroll systems.
  • OTHER SKILLS REQUIRED :

  • Proven work experience in accounting or a related field.
  • Understanding of applicable laws and regulations.
  • Understanding of financial data analysis and reporting.
  • Knowledge of payroll, accounts payable, and accounts receivable functions.
  • Ability to deliver quality work on tight deadlines, with strong organization and priority-setting skills.
