Chartwell Law is seeking a full-time Legal Administrative Clerk to work in our Deerfield Beach, FL office.
Responsibilities include:
- Ideal candidate must be highly organized, detail-oriented, and maintain confidentiality
- Works closely with attorneys, legal assistants and paralegals
- Processing all outgoing subpoenas through certified mail for both offices, recording all tracking information after processed into ATO.
- Responsible for all outgoing mail and FedExes for both offices.
- Saving all incoming records, billing and etc. in response to subpoenas into ATO, updating subpoena memos with all information received. “Document management”
- Scanning and forwarding all incoming mail for both offices.
- Monitor Subpoena Inboxes & Fax Inboxes and upload all records into ATO.
- Follow up with facilities regarding records, invoices, W-9s, radiology discs in response to subpoenas.
- Duplicating records and radiology discs to send to experts to obtain CME reports when needed.
- Assist with trial preparation and other projects when needed.
- Oversee incoming settlement checks and assist with sending to Plaintiff.
- Assist with phone coverage when needed.
- Order office supplies and keep office maintained.
- Communicate and arrange service with various vendors and building management when needed.
- Other administrative/clerical tasks as needed
- Candidates must have a minimum of 2 years' administrative experience; legal experience a plus
- Candidates must be computer literate and proficient with Microsoft Office
- Familiarity with and prior use of document management systems a plus
