JOB SUMMARY:
Under general supervision of the Finance Director, the Payroll Accountant is responsible for processing payroll, conducting relevant tax research, and verifying tax reporting is completed by third party payroll vendor. Responsibilities also include assisting with general ledger accounting in compliance with accounting principles. This is a part-time, 25-hours-per-week role.
ESSENTIAL JOB RESPONSIBILITIES:
Payroll
- Collect and input payroll data in Paycom and input employee changes (new hires, changes in pay rates, employment status) for both Chase Oaks Church and Center for Church Renewal (CCR), in compliance with IRS guidelines, updating as required
- Maintain payroll system setup, making tax reporting changes for pastors as required by IRS guidelines. Includes GL Mapping
- Research IRS tax code changes to ensure compliance (e.g. Covid earnings and credits)
- Process payroll semi-monthly and review payroll reports for accuracy
- Manage Wage Garnishment payments as required by government agencies
- Prepare manual checks, voids, and stop payments as necessary
- Fund payroll account and provide CCR data related to their Payroll
- Post payroll entries (G/L, 403b, HSA, fees)
- Reconcile Benefits accrual accounts monthly
- Process Love Fund assistance related to staff
- Assist HR Generalist and Finance Director with reports involving confidential salary data
- Input and verify new salary, housing, and benefit data each new compensation year
- Verify the processing W-2 and W-3 tax reports submitted by Paycom at year-end, maintaining compliance with IRS guidelines
- Respond to questionnaires submitted by various agencies regarding salary history (employee verifications)
- Update HSA online system with employee/employer changes and maintain semimonthly deposit process in HSA Bank system; process quarterly employer funding
- Verify the filing of quarterly Form 941 (Payroll taxes) by Paycom with the IRS
- Remain knowledgeable of uniqueness of pastoral pay
- Remain knowledgeable of event payment guidelines related to hours worked by staff
General Accounting and Deposits
- Reconcile clearing accounts among Chase Oaks General Fund, Campaign Fund, and Campuses, transferring funds among entities as required; reconcile inter-campus Short Term Payable Accounts
- Manage bank account balances to ensure adequate funds are available to cover AP and Payroll transactions (this is a shared responsibility with the Finance Director)
- Participate in annual financial audit, providing requested documentation and related explanations to the auditors
- Oversee the issuance of corporate credit cards (this is a shared responsibility with the Finance Director)
- Manage bank account balances weekly, including posting journal entries for funds transferred between bank accounts
- Reconcile and bill CCR monthly for charges incurred by Chase Oaks on their behalf
- Assist with annual budget process, providing reporting and input assistance as needed (this is a shared responsibility)
- Assist staff with financial report instructions and address accounting related questions (this is a shared responsibility)

EXPERIENCE DESIRED
Three years of accounting experience required.
EDUCATION DESIRED
Minimum of college level accounting degree required.
SUPERVISORY RESPONSIBILITIES
This position will not have supervisory responsibilities.
LANGUAGE SKILLS
- Ability to speak effectively and understandably on the phone. The ability to effectively present information and respond to common inquiries regarding Chase Oaks ministries is also required. High attention to customer service.
COMPUTER SKILLS
- Strong working knowledge of Microsoft Office, Outlook calendaring, and email
- Extensive knowledge of Excel
Data entry skill & experience - Familiarity with databases and accounting systems
REASONING DEMANDS
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or schedule form. High attention to detail.
