Job Title: Regional Event Manager (Events Specialist)
Location: Austin, TX or New York City, USA (In-office 1-3 days per week)
Duration: 12 Months
About the Role:
As a Regional Event Manager in Atlassian’s Workplace Experience Event Team, you will work as part of a dynamic global team focused on creating and executing in-person and virtual events. These events will connect Atlassians both locally and globally, enhancing company culture and fostering strong internal relationships.
In this role, you will be responsible for executing internal events and event marketing strategies in your region, overseeing both small and large-scale in-person and virtual events. You will also manage vendor relationships, budget oversight, and work closely with internal teams across multiple locations to bring events to life.
Key Responsibilities:
- Event Management: Lead and execute a range of in-person and virtual events, including social events, innovation-themed gatherings, and internal conferences or launch events in your local office.
- Collaboration & Stakeholder Management: Work closely with global and local teams to ensure seamless event execution, from planning to delivery. Regularly engage with stakeholders to get approvals, provide updates, and solve any issues that arise.
- Vendor & Partner Management: Source and manage external event production vendors and partner agencies. Conduct vendor briefings, manage contracts and timelines, and ensure smooth collaboration for event success.
- Communication & Reporting: Maintain excellent communication both within the team and with other stakeholders. Provide regular written updates and status reports, ensuring everyone is informed on project progress.
- Event Production: Oversee logistics such as sourcing vendors, negotiating budgets, and managing the end-to-end delivery of events. Handle everything from arranging yoga mornings to larger, more complex events with internal or third-party vendors.
- Budget & Financial Management: Manage the event budget, from scoping and procurement to ongoing management and reconciliation. Ensure events stay within budget and that vendors adhere to the financial framework.
- Technology & Event Platforms: For virtual events, work closely with the Atlassian workplace tech team or third-party AV vendors to ensure the event setup is smooth. You’ll need to understand what’s required for virtual events and know how to write effective briefs and analyze vendor quotes.
- Local Engagement: Act as the on-the-ground liaison between the global team and the local teams in New York or Austin. Build relationships with the local Atlassians and stay attuned to local nuances.
- Occasional Travel: While travel isn’t frequent, occasional trips within the US (once a quarter) may be required for event execution or relationship-building.
Core Skills & Experience:
- Event Production: At least 5 years of experience in event production, including both virtual and in-person events. Experience with managing multi-projects at the same time is essential.
- Vendor & Stakeholder Management: Strong experience working with vendors, agencies, and internal stakeholders to bring events to life.
- Communication: Excellent oral and written communication skills. You will be expected to write briefs, provide written updates, and engage in regular meetings with both local and global teams.
- Project Management: Ability to work independently, manage multiple projects, and handle competing priorities effectively. Experience with tools like Confluence, Slack, and Excel is important.
- Budget Management: Strong understanding of budget management and financial tracking, with the ability to negotiate vendor contracts and handle reconciliation.
- Experience with Event Technology: Basic understanding of virtual event technology (i.e., using AV vendors, managing event platforms, etc.), with the ability to create clear briefs for tech teams.
- Regional Experience: Experience working within the US is required, ideally with exposure to both New York and Austin markets.
Qualifications:
- Education: Degree level education preferred (not necessarily in Events Management, but relevant fields such as Media, Geography, Accounting, etc., are a plus).
- Industry Experience: Background in an event agency or a global team is preferred. Familiarity with working on both regional and global event programs is highly valued.
- Technical Proficiency: Familiarity with Atlassian products (e.g., Confluence, Jira, Trello), though quick learning is acceptable.
- Soft Skills: Excellent organizational skills, a collaborative mindset, and the ability to prioritize tasks in a fast-paced environment.
Key Requirements:
- Top Must-Haves (Ranked by Importance):
- Mix of agency and client-side experience.
- Regional experience across the US (preferably in New York and Austin).
- Experience managing multiple projects simultaneously.
- Sourcing Wish List:
- Event Producers/Managers from companies like George P. Johnson, Invision, and Freeman.
- Tech Industry Experience (e.g., Google, Salesforce).
Logistics:
- Work Schedule: The role requires flexibility in hours. You'll need to be available for Zoom meetings with the global team based in Sydney (mostly in the evenings, 2-3 times per week).
- Office Location: You must be based in either Austin, TX, or New York City. In-office presence is required 1-3 days per week.
- Travel: Minimal travel (around once per quarter) may be required within the US.
Additional Benefits:
- Access to an exciting and dynamic work culture at Atlassian.
- Breakfast and lunch provided in the office.
- Opportunities for growth and career advancement.
- Strong global team collaboration with colleagues across Australia, India, The Netherlands, and the UK.
