The Office Receptionist serves as the first point of contact for visitors, students, staff, and parents. This role is crucial for ensuring smooth day-to-day operations of the school's front office by providing administrative support, answering inquiries, and facilitating communication between school departments. Key Responsibilities:
Greeting and Directing Visitors:
Welcome visitors, parents, students, and staff with a friendly and professional demeanor.
Direct visitors to appropriate departments or individuals and ensure sign-in procedures are followed.
Manage and direct phone calls, emails, and other forms of communication in a timely and effective manner.
Administrative Support:
Assist with general office tasks such as filing, photocopying, and managing school supplies.
Maintain student attendance records and communicate with parents regarding student attendance issues.
Help schedule meetings, appointments, and events for staff members and administrators.
Handling Inquiries:
Provide accurate information to parents, students, and staff about school policies, events, and procedures.
Resolve inquiries and issues in a professional, courteous, and timely manner.
Student and Parent Interaction:
Coordinate with parents regarding student early dismissals, absences, and arrivals.
Help ensure students are properly signed in and out of the school.
Assist with the distribution of student forms and other necessary documents.
Managing School Communications:
Assist in updating and distributing school newsletters, announcements, and other communications.
Monitor and update school notice boards and informational displays.
Maintain Office Organization:
Keep the front office organized and tidy, ensuring that essential supplies and materials are readily available.
Ensure that office equipment is functional and report any maintenance issues as needed.
Confidentiality and Safety:
Handle sensitive student and staff information with discretion and confidentiality.
Ensure school safety protocols are followed, including monitoring access to the building.
Qualifications:
Education: High school diploma or equivalent (Associate’s degree or higher preferred).
Experience: Prior experience in an administrative, receptionist, or customer service role is preferred, especially in an educational environment.
Skills:
Excellent communication and interpersonal skills, with the ability to interact effectively with students, parents, and staff.
Strong organizational skills with attention to detail.
Ability to multitask and prioritize responsibilities.
