Position Summary
The Grant Accounting Assistant at Casakids is a full-time administrative role that provides high-level organizational support, including direct assistance to the Chief Financial Officer. This critical position supports all Casakids employees and ensures the organization operates with accuracy, efficiency, and integrity. As a trauma-informed role, it is vital to uphold a high standard of ethics and confidentiality while delivering exceptional service.
Essential Functions and Responsibilities
- To succeed in this role, candidates must demonstrate the ability to perform the following responsibilities:
- Exhibit meticulous attention to detail in all tasks.
- Manage the accounts receivable process, including invoicing, payment processing, and reconciliations, ensuring accuracy and timeliness in all transactions.
- Perform all aspects of billing and invoicing, including grants, contracts, and fundraising, adhering to specific requirements for each.
- Accurately manage invoice processing, ensuring proper approvals and coding before payment. Reconcile vendor statements and address discrepancies promptly.
- Conduct credit card reconciliations to ensure accurate transaction recording.
- Process incoming payments, including checks, electronic transfers, and credit card transactions, and apply payments to appropriate accounts.
- Respond promptly to inquiries and provide excellent customer service to donors and stakeholders.
- Provide necessary data and documentation to accountants or auditors as requested.
- Maintain transaction records, including both giving and receiving donations.
- Collaborate with internal departments to ensure accurate and timely billing/invoicing, welcoming feedback to improve processes.
- Assist with additional financial and administrative tasks such as data entry, filing, and record-keeping to support the finance department.
- Encourage and provide feedback to improve accounting processes, enhancing organizational efficiency.
Education:
Associate’s Degree preferred; equivalent work experience in accounting will be considered.
High School Diploma/GED required.
Licenses:
Must possess a valid New Mexico ID.
Reliable transportation to/from work is required, along with proof of current vehicle insurance for any staff providing transportation to clients.
Experience:
Experience working in accounting or a business setting is required.
Proficiency in QuickBooks is highly preferred.
Job Type: Full-time
Pay: From $35,000.00 per year
