Position Overview:
The Parts Specialist (or Manager depending on experience) is responsible for efficiently sourcing, tracking, and managing parts for warehouse and production operations. This role requires strong computer skills, organizational abilities, and experience in vendor sourcing to secure the best pricing and availability from suppliers like Radwell, Grainger, FW Webb, Amazon, eBay, and local/national vendors. The specialist will also handle data entry, package management, and documentation of parts and shipments to ensure seamless operations.
This position is on-site in Saddle Brook, NJ, with a schedule of Monday to Friday. Part-time availability is an option.
Key Responsibilities:
1. Vendor Sourcing & Procurement:
- Source and compare pricing and availability from various suppliers, including but not limited to:
- Radwell (industrial automation parts)
- Grainger (industrial supplies, MRO products)
- FW Webb (plumbing, heating, and industrial equipment)
- McMaster-Carr (fasteners, tools, raw materials)
- Motion Industries (bearings, mechanical power transmission)
- Fastenal (industrial and construction supplies)
- Amazon & eBay (miscellaneous parts, hard-to-find items)
- Local and national vendors, manufacturers, and specialty suppliers
- Negotiate pricing, bulk discounts, and delivery terms to secure the best deals.
- Track orders and ensure on-time delivery, following up with vendors as needed.
2. Documentation & Organization:
- Create and maintain accurate cover sheets, part diagrams, and related paperwork.
- Ensure that all procurement and inventory documentation is properly stored, up to date, and easily accessible.
3. Inventory & Data Management:
- Enter all parts, orders, and package details into the system accurately.
- Maintain accurate real-time inventory records, ensuring all parts are accounted for.
- Identify low stock levels and recommend reorders before shortages occur.
4. Package & Shipment Handling:
- Receive, inspect, and document all incoming shipments from suppliers.
- Ensure proper handling of packages and verify that the correct parts have been delivered.
- Log all received parts and match them against purchase orders to avoid discrepancies.
- Oversee proper storage and organization of received items to ensure accessibility.
5. Communication & Coordination:
- Work closely with maintenance, warehouse, and procurement teams to ensure parts availability.
- Provide real-time updates on order status, backorders, and alternative sourcing solutions.
- Assist in developing standardized processes for better inventory and parts management.
Qualifications & Skills:
- MUST BE VERY PROFICIENT AND SKILLED WITH USING A COMPUTER, PARTICULARLY MICROSOFT SUITE AND ADOBE ACROBAT.
- Experience in sourcing, purchasing, and inventory control.
- Ability to compare quotes and negotiate pricing effectively.
- Highly organized with strong attention to detail in managing paperwork and inventory records.
- Familiarity with warehouse operations, MRO supplies, and industrial equipment parts.
- Experience working in a manufacturing environment, especially with blow molding or food-grade oil production machinery, is a plus.
- Excellent communication and problem-solving skills.
- Ability to lift up to 50 lbs as needed.
Preferred Qualifications:
- Knowledge of industrial, manufacturing, and mechanical parts.
- Background in purchasing or procurement
Work Environment & Physical Requirements:
- On-site position in Saddle Brook, NJ – Monday to Friday (part-time option available).
- Work in a desk work with hands-on duties as it relates to incoming packages.
- Frequent interaction with maintenance personnel.
- May require standing, bending, lifting, and handling shipments.
