About the Opportunity:
Chelsea Piers Field House is looking for a talented individual to work on our Registration team and support our Field House business with administrative duties across departments. This Associate will work in a fast-paced environment where they will be called upon to handle all aspects of class registration and administrative tasks. You will be responsible for class registration management and billing, a variety of administrative duties supporting the Field House business. For registration, this position will report to our Class Registration & Communication Manager and work with the Registration team, and our Gymnastics, Soccer, Basketball and Birthday Party & Special Events teams.
Your work schedule will be Tuesday - Saturday.
Class Registration Responsibilities:
- Accurate reporting of Registration data to GM, Controller and FH Director
- Assist customers with all aspects of Field House registration including but not limited to providing information on our programs, registering for classes, and managing Daysmart accounts
- Accurately and efficiently execute customer transactions, registrations, and payments, including Team and Scholarship payments
- Sell our programs with excellent customer service, classes, camps, trips, drop-in’s, parties etc…
- Ensure that class schedules are accurate and up-to-date in DaySmart.
- Manage special projects in DaySmart such as exporting classes, including but not limited to adult classes and toddler gym sessions.
- Respond to class inquiries over the phone, via email, and in person in a friendly manner
- Maintain class waitlists, including outreach
- Other business-related duties deemed necessary by Supervisor
Office Administrative Responsibilities:
- Assist with onboarding of new employees
- Deposit checks for multiple departments
- Assist with Payroll duties
Data Entry Responsibilities:
- Code and submit invoices for corporate credit card & vendors
- Collect and upload expenses
- Register travel teams for leagues and events
- Monitor TeamSnap accounts for travel programs
- Upload event contracts into multiple systems, including timing and fees
- Assist with analysis reports
Parties and Special Events Responsibilities:
- Respond to incoming birthday party inquiries over the phone and via email, including contracts & deposits
- Accurately update CRM and party and event schedules with event details
- Review and finalize party details for booked parties
- Provide excellent customer satisfaction
- Other business-related duties deemed necessary by Supervisor
Qualifications
About You:
You are punctual, dependable, and professional. You are a proactive self-starter who can identify and solve problems on your own. You will have:
- At least 6 months experience in a customer-facing role
- A positive, can-do attitude
- Ability to multi-task in a fast-paced environment
- Ability to offer high quality customer service and diffuse difficult situations
- Ability and willingness to run projects independently
- Excellent and articulate communication skills with friendly and professional phone and email etiquette
- Ability to lift, carry, load, unload, push, and pull up to 20lbs
- Ability to sit, stand, bend, stoop and walk for the majority of their time at work
- CPR/AED certification within the first 30 days of hire
