The Library & Tutoring Center Lead guides library, tutoring, and student computer center activities at the Yamhill Valley campus. The Lead is responsible for maintaining a positive customer service environment, coordinating staffing, and training part-time hourly and student staff. This position works closely with the Coordinators (Academic Support Center Manager and the Access Services and Student Computer Center Manager) to ensure consistency across service points throughout the district. The Lead provides direct support for students, including subject matter tutoring and content reinforcement. Essential Functions:
Academic Support Center (including Tutoring Services) Operations and Library and Student Computer Center Operations
- The YVC Library and Tutoring team, under supervision of coordinators, is responsible for promoting the Academic Support Center services (including tutoring) to Salem and Yamhill campuses, in Woodburn, and other outreach locations through class visits, marketing material, and collaborative partnerships with instructors
- Collaborates to create and maintain policies, procedures and standards. Assists the Academic Support Center Coordinator with ensuring compliance with internal and external policies, procedures and standards
- Assists with development and management of remote and online tutoring services
- Develops strategies for remote tutoring, including best practices for Zoom sessions; manages tutors’ remote tutoring experiences through frequent check-ins
- Develops and manages student access to remote tutoring through manual integration of EAB Navigate with Zoom for each tutor
- Reviews recorded remote sessions, as needed, for quality control and training.
- Assists with maintaining our consortial relationship with the Western eTutoring Consortium, ensures tutors are trained to work with the consortium, assists with any quality control or employee concerns
- Collects data regarding utilization rates of all tutors, (individually and collectively and across each discipline area) of the Academic Support Center and Tutoring Services as a whole
- Makes recommendations to the Coordinator on service and program adjustments based on data analysis
- Tracks and reports data required for various federal grants
- As part of a team, is responsible for all elements of the Academic Support Center and the Yamhill Library and Tutoring Center daily operations, including supervision of tutors and front desk staff, provision and creation of resource material for tutors and students, and management of appointment booking technology
- Trains tutors in handling difficult sessions; may work with the student and tutor to resolve conflicts or problems
- Fields complaints, student behavior issues, and other conflicts in the Center and reports to the Academic Support Center Coordinator and the Access Services and Student Computer Center Coordinator any severe or ongoing issues
- Works with Salem Student Computer Center staff to ensure ongoing Student Computer Center operations at the Yamhill campus are running and in alignment with the Salem campus
- Under the supervision of the Access Services and Student Computer Center Coordinator, responsible for promoting and providing access services and student computer center services to Yamhill students in alignment with Salem campus services
Student & Hourly Employee Supervision
- Creates a term by term schedule for part-time hourly and student staff based on budgets, department need, and staff availability
- Schedules tutors to provide coverage in multiple subject areas including for both core classes (such as math, writing, and science) and elective courses (music, history, etc.)
- Recruits for subject-specific tutors when lacking in coverage
- Schedules tutors to meet faculty requests for embedded tutoring (tutors within the classroom) and facilitates liaison work between tutor and instructor for these arrangements
- Recruits front desk staff through the drafting and posting of current job descriptions; interviews and hires prospective front desk candidates; completes related paperwork and processes including calling references, filling out reference forms, communicating team decisions to Human Resources, and offering the position to selected candidates; schedules the front desk staff and supervises their workload
- Provides supervision for student tutors and part-time tutors; observes and evaluates performance periodically through a College of Reading and Learning Association (CRLA) approved process; gathers availability for individual tutors to create personal and master schedules; completes and verifies timesheets for the college on a monthly basis
- Enforces college and department employment procedure; when necessary, collaborates with team and tutors/front desk staff to create improvement plans; terminates employees when necessary
Tutor Training Program and Professional Development of Staff
- Develops and implements 30 hours of College of Reading and Learning Association (CRLA) approved curriculum
- Contributes to creation and development of a variety of professional development opportunities for tutors
- Delivers training to both department tutors and those from external Chemeketa departments; maintains certification records for department tutors and external tutors to certify them in the CRLA training program
Department Liaison and Instructional Support
- Evaluate tutors’ competency in area of expertise. Support tutors in that subject with discipline-specific knowledge
- Serves as a resource to faculty by advising on learning assistance and study strategies
- Serves on college committees and participates in interdepartmental activities
- Maintains awareness of emerging trends and tools in educational technology and learning assistance
- Regularly pursues professional development opportunities in appropriate areas.
- Develops and manages embedded tutoring for assigned areas
- Communicates with faculty and matches tutors with class sections; facilitates tutor/instructor collaboration
- Participates in discipline program meetings and other gatherings to communicate about the Academic Support Center offerings and to stay current with developments in program areas
Direct Student Support (Tutoring and Study Strategy Consultations)
- Assists students individually and in small groups with understanding course materials in liaison area and with improving critical thinking skills
- Meets with students to develop study plans covering a wide range of research-proven study strategies
- Identifies specific student problems and keeps Center Manager informed.
- Promotes resourceful learning
- Staffs eTutoring service, as required
Department Responsibilities
- Cooperates as a member of the Library and Learning Resources team in performing tasks essential to the achievement of unit goals and objectives
- Attends other meetings, as directed
- Creates a variety of flyers, brochures, advertisements, and other promotional documents

Associate’s degree from an accredited institution in subject field

Two years of progressively responsible instructional field-related experience,
including one year of experience tutoring high school or adult learners

Demonstrated experience with tutoring practices; experience with evidence-based practice, adult learning theory and assisting students with disabilities

Bachelor’s degree from an accredited institution in subject field

Six months of experience tutoring in the subject area and successful completion of a nationally recognized tutor certification program (Level I or higher)

Must demonstrate “A” or “B” grade in subject field

Demonstrated experience with tutoring practices; experience with evidence-based practice, adult learning theory and assisting students with disabilities

- Knowledge and experience in the development of college-level, academic support programs, including Supplemental Instruction (SI), group tutoring, tutor training and certification, and design of learning objectives
- Experience with College Reading and Learning Association (CRLA) tutor certification program
- Bilingual English/Spanish
- Experience working in higher education at an institution with multiple sites
SCHEDULE & MODALITY
- Regular remote/hybrid work is not a feature of this position. Exceptions may be made for special projects or responsibilities requiring periodic needed focus time at supervision discretion.
- Position will provide services at multiple work sites.
- Schedule includes days at Salem and Yamhill campuses.
- Work schedule varies depending on school term and will require evening and/or weekend hours; occasionally may be asked to work additional hours during peak periods and/or to meet needs of the department.
- This is a 100%, 12-month classified assignment of the B3 band and grade
- Please note: The college is currently undertaking a comprehensive classification and compensation study. No employee will lose base pay because of this study, however, classification titles and pay grades may change. The successful candidate will receive notice of all changes prior to implementation which is currently projected for the Winter of 2024.
- This position has a 6-month probationary period
- All positions at Chemeketa are required to be available for work onsite as requested by the college.
- Requires flexible work schedule to meet program needs, which may include evenings and/or weekends
- This position may require the use of your personal vehicle for transportation between campus locations
- If requested, requires the provision of official transcripts upon hire

PHYSICAL REQUIREMENTS
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary requirements are met.

Chemeketa Community College is considered a qualifying public employer for the purposes of the Public Service Loan Forgiveness Program.
