Job Summary
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting team members, and maintaining an efficient work environment. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
Responsibilities
- Oversee daily office operations and ensure a productive work environment.
- Utilize phone systems effectively, demonstrating excellent phone etiquette in all communications.
- Plan and coordinate company events, ensuring all logistics are handled smoothly.
- Provide support in team management activities, fostering a collaborative workplace culture.
- Maintain organized filing systems for easy access to important documents and records.
- Assist with various administrative tasks as needed to support overall office functions.
- Manage project files and ensure proper documentation is maintained
- Track contracts, subcontracts, purchase orders, and change orders
- Assist with scheduling meetings, managing calendars, and tracking deadlines
- Handle incoming and outgoing correspondence (emails, mail, phone calls)
- Support billing, invoicing, and accounts payable/receivable processes
- Organize and maintain digital filing systems
- Coordinate with subcontractors and vendors for documentation and compliance
- Help prepare reports, RFIs, submittals, and other project documents
- Assist with onboarding and documentation for new hires or subcontractors
- Order and track office and jobsite supplies
- Perform general office duties as needed
Qualifications
- Prior experience in construction administration or office management preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written, with a focus on phone etiquette.
- Proficiency in event planning, ensuring successful execution of company activities.
- Ability to work collaboratively within a team while also managing individual responsibilities.
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management software
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Understanding of construction terminology is a plus
- Comfortable working both independently and on a team
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management software
- Being a commissioned Public Notary is a plus
