Job Description
Shipping and Receiving Coordinator
Position Purpose
The Shipping and Receiving Coordinator overseeing the administrative aspects of the shipping and receiving operations including supporting with dock usage, managing incoming and outgoing shipments and coordinating with various stakeholders to ensure timely and accurate delivery of goods. The key responsibility involves managing the inventory system, driving customer satisfaction through on-time deliveries, and collaborating with operations leadership to facilitate the movement of pallets, products, and materials by forklift operators and other material handlers.
Major/Key Accountabilities
Inventory Management:
- Oversee the inventory system (COLT) to track stock levels, monitor inventory movements, and ensure accurate recording of all incoming and outgoing shipments.
- Review incoming shipments to verify quantity, quality, and compliance with purchase orders and shipping documents, promptly addressing any discrepancies or issues.
Documentation and Record Keeping:
- Maintain accurate records of all shipments, including packing lists, bills of lading, and shipping/receiving documents, ensuring compliance with regulatory requirements and internal policies.
Shipment Coordination:
- Coordinate with carriers, freight forwarders, and other logistics partners to schedule inbound and outbound shipments, ensuring timely delivery and receipt of goods.
Customer Communication:
- Communicate proactively with customers regarding shipment status, delivery schedules, and any delays or issues, striving to exceed customer expectations and enhance satisfaction.
Cross-Functional Collaboration:
- Collaborate closely with operations leadership to coordinate the movement of pallets, products, and materials within the facility, ensuring seamless integration with production schedules and workflows.
Safety and Compliance:
- Adhere to all safety protocols and guidelines.
- Wear appropriate Personal Protective Equipment daily
- Report any safety hazards or concerns to supervisors immediately.
Qualifications
- High school diploma/equivalent or 2 or more years’ experience in a warehouse setting
- Knowledge/Usage of inventory and/or warehouse management systems, with experience using COLT or similar software, preferred.
- Proficient use of Microsoft Office suite and other relevant software applications.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage competing priorities effectively.
- Exceptional attention to detail and accuracy in record-keeping and documentation.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, external vendors, and customers.
Ability to make quick decisions in a fast-paced environment.
Experience
- Previous shipping and receiving and administrative experience in a manufacturing or warehouse environment
Working Conditions
- The role involves working in a warehouse or manufacturing environment.
- Work requires operator to sit for long periods of time.
- Exposure to noise, dust, and varying temperatures may occur.
Personal protective equipment (PPE) required.
