Event Specialist
This position requires an active Public Trust clearance or the ability to obtain a Public Trust clearance to be considered.
The Event Specialist provides comprehensive expertise in all aspects of event, meeting, and conference planning. This role involves coordinating logistics, managing costs, and ensuring high-quality execution for a range of events including conferences, workshops, seminars, symposiums, and special events. The ideal candidate will possess excellent leadership and organizational skills to manage all planning aspects efficiently.
Responsibilities:
Event Specialist Responsibilities Include:
· Oversee the administrative, logistical, and operational support for events. This includes venue scouting, equipment logistics, room setup, and implementation of best practices to ensure successful execution.
· Establish and manage calendar-based milestones to ensure the timely completion of all activities and support for multiple ongoing events.
· Maintain an events database to track and monitor event-related details, ensuring seamless coordination and data accuracy.
· Maintain and update event-related website content, including course agendas, participant lists, conference themes, speaker bios, read-ahead materials, and presentations.
· Prepare attendee materials such as name tags, tent cards, signs/posters, swag, parking signs, and other event-related items.
· Oversee the event registration desk, ensuring smooth and professional attendee check-in and coordination during event sessions.
· Conduct market research to identify and evaluate vendors needed to support events, such as catering, audiovisual services, and equipment rental.
· Generate and coordinate all required documentation before, during, and after the event, ensuring proper record-keeping and administrative compliance.
· Conduct post-event reviews to identify lessons learned, resolve any issues, and develop strategies for improving future event operations.
· Maintain and manage suspense logs and records on incoming and outgoing correspondence, ensuring follow-up and timely completion of actions.
· Performs other job-related duties as assigned
Event Specialist Experience, Education, Skills, Abilities requested:
· Proven experience in event planning and coordination.
· Strong organizational, time-management, and leadership skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
· Excellent communication and vendor management skills.
• Experience with social media drafting, scheduling, posting etiquette
• Experience with executive-level communications understanding how to manage ambiguity and work with limited resources.
• Ability to develop surveys for post event statistics and ideate how to synthesize the statistics into actionable insights
• Can-do attitude with the inclination to be a self-starter, confident to work smartly to accomplish event tasks ahead of time
• Familiar with start-up environment
• Ability to work with multiple spreadsheets, excel and SharePoint to mine event attendee data and synthesize it to produce high level post event briefs.
· Familiarity with event management systems and database software.
· Ability to multitask and handle multiple events simultaneously.
· Experience in conference planning, corporate events, or government-related event management.
· Knowledge of website content management and event registration systems.
· Must pass pre-employment qualifications of Cherokee Federal
