Responds to inquiries from tribal members by mail, telephone, or in-person requesting tags, titles, liens, and taxes, review title and registrations, collect and mail dropped-off information, and forward letters to tribal members.
Job Duties:Responds to inquiries from tribal members by mail, telephone, or in person. Reviews tribal members' title and registration for any errors. Collects and mails dropped off information to complete vehicle registration. Prepares title recall letters to members when errors have been discovered. Prepares situation letters to members concerning detected errors or omissions for proper documentation required. Performs other duties as assigned by the Director of Motor Vehicle.
Audit
Receives daily work from the Tag office and inspections. Reconciles tags and decals are matched with the daily issued list of errors. Verifies accuracy of "tribal membership". Forwards finished work to Tag Agent III for filing records.
Title/Lien
Receives daily work from the Audit department and inspections. Receives and files required information to complete member's file. Collects phone logs prepared daily by phone operators and returns calls to members concerning title and registration status. Copies, files, and mails titles checked daily.
Imaging/Filing
Receives and files required information to complete vehicle registration. Places daily work in expanding file folder, filed in order by title number and decal number. Processes records and scans for archival purposes and storage. Maintains records. Logs and notes returned mail daily.
Revenue
Accepts and processes applications for vehicle, boat, and motor registration, and tax licenses. Schedules appointments and performs inspections for salvage vehicles requiring rebuilt status. Collects money for each processed transaction. Balances tickets, receipts, and money at the end of each work day. Collects all tax in accordance with law. Prepares and/or reviews motor vehicle registration applications and other forms for completeness and accuracy. Explains laws, rules, and regulations. Assesses tax fines and penalties and determines liability and delinquent taxes. Deals with the public on problems when confused, frustrated, or hostile. Initiates liens. Reviews and determines the accuracy of transactions performed. Explains policies and procedures.
Tobacco/Cigarettes/Leases/Tax
Conducts audits on existing licensed retailers and reports findings and makes recommendations to the Supervisor on the approval/denial of new and current license applications. Investigates and reports irregular activities. Conducts instant on-site audits, inspections, and facility observations regularly and evaluates facilities for compliance with Cherokee Nation and/or federal laws. Reports review findings and recommendations to management and recommend appropriate corrective actions on all analyses in professionally prepared narrative manuscripts, tables, charts, and other appropriate formats. Provides analysis of data obtained in review for evidence of deficiencies in controls, duplication of effort, extravagance, fraud, or lack of compliance with established policies and procedures. Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES
No supervisory responsibility.
Qualifications:EDUCATIONAL REQUIREMENT
High school or general education degree (GED).
EXPERIENCE REQUIREMENT
At least six months experience in a related field.
COMPUTER SKILLS
An individual should have knowledge of Database software and Word Processing software.
CERTIFICATES, LICENSES, REGISTRATIONS
Must possess a valid driver's license with a driving history verified through a motor vehicle report that meets requirements for Cherokee Nation underwriting rating.
OTHER SKILLS AND ABILITIES
Carries out tax rules and regulations and understands Cherokee Nation Tax Law 68CNCA.
OTHER QUALIFICATIONS
Employee must not be and will not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA) or listed on the OIG’s Cumulative Sanction Report, or the GSA’s List of Excluded Providers; or listed on the OIG’s List of Excluded Individuals/Entities (LEIE).
PHYSICAL DEMANDS
While performing the duties of this Job, the employee is regularly required to reach with hands and arms. The employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stoop, kneel, crouch, or crawl.
