Patient Registration Supervisor - Clinics
Reports to Clinic Director
Anticipated Schedule: 36-40 Hours/Week. M-F with 1:8 Saturdays 7AM-1PM
POSITION SUMMARY: The Clerical Supervisor performs clerical, receptionist and scheduling duties, as well as provides the leadership expertise to ensure patients receive high quality, efficient customer service through the accessing and scheduling of patient services in the clinic. The position organizes the work processes to optimize clerical and operational efficiencies and leads clerical staff to maximize team building, resolving conflicts, and providing excellent customer service. Candidate embodies the Cherokee Regional Medical Center i-CARE standard of integrity, compassion, accountability, resourcefulness and engagement.
ESSENTIAL FUNCTIONS:
- Plans, coordinates, supervises and coaches day to day clinic operations related to reception.
- Schedules staff and makes arrangements for staff absences.
- Reports staffing or performance issues to the Clinic Director and participates in resolution.
- Evaluates activities and directs personnel to ensure safe patient care, effective staff relations, efficiency of service and positive patient experience.
- Provides leadership and direction in accordance with CRC goals and objectives.
- Assists with the hiring, orientation, training, evaluation and development of personnel.
- Assists Clinic Director with unit staff meetings regularly, in collaboration with the leadership team.
- Encourages teamwork and fosters mutual, respectful cooperative working relationships.
- Resolves issues or problems in a direct and open manner, following policies and procedures of the organization.
- Proactively manages patient, staff or visitor requests, concerns, and/or complaints, working towards resolution, collaborating with the Clinic Director and/or senior leadership when necessary.
- Performs clerical, receptionist and scheduling duties.
- Orders supplies.
- Maintains a schedule of provider meetings.
- Assists with Quality Improvement opportunities
Education
- Required: High school graduation or equivalent
Experience:
- Preferred: Experience in a medical office
- Preferred: Previous supervisory experience
Knowledge/Skills/Abilities:
- Skill in monitoring/assessing the performance of self, other individuals, or organizations to make improvements or take corrective action.
- Ability to train and supervise others.
- Organizational skills in managing projects simultaneously while maintaining a satisfactory work environment.
- Knowledge of office practices.
- Skill in the operation of office equipment including, but not limited to, phones, fax machines and computers.
- Ability to type and complete data entry in an electronic health record with high attention to detail and minimal errors.
- Ability to multitask.
- Ability to problem-solve.
- Ability to communicate and interact effectively with members of the public providing excellent customer service.
- Ability to adapt to flexible work schedules and frequent interruptions.
- Ability to work in any clinic location.
- Ability to maintain a flexible work schedule to cover staff absences as needed.
- Ability to work evenings and Saturdays as needed.
- Ability to be a SuperUser in EPIC
