DUTIES AND RESPONSIBILITIES: The following tasks describe the basic functions of the job and represent the type of work performed. - Prepare, control, and analyze data for payroll processing. Work in partnership with Human Resources, Benefits and Employee Relations on necessary adjustments. [Daily, 35%]
- Receive and respond to payroll-related inquiries from employees, students, and outside agencies, using discretion and excellent verbal and written communication skills. Provide support, training, and resources for district employees who submit payroll and have concerns and questions regarding their pay. Research, analyze, and audit individual payroll records as needed. [Daily, 23%]
- Assist employees in submitting their direct deposit information in the ERP system and work with the district’s bank when employee’s direct deposit is returned, account closed or account number incorrect. [Daily, 2%]
- Respond and provide information for employment verification and Medicaid reporting. [Daily, 2%]
- Maintain accurate documentation within all payroll files, including preparation of W-2’s, retirement records, and Medicare, for active and terminated employees, in accordance with federal, state, local, and District requirements. [Daily, 5%]
- Process and audit 401K, 401a, 457, and 403b contributions. [Weekly, 5%]
- Process and collect garnishments, levy’s and family support orders issued. [Weekly, 5%]
- Using data gathered from the ERP system, post and reconcile gross to net report for each payroll run. [Weekly, 5%]
- Compile, remit, and report employer and employee deductions, reductions, and contributions to various agencies such as taxes, retirement, insurances, annuities, etc. [Monthly, 5%]
- Assist in the coordination and monthly reconciliation process of the payroll interface with the ERP accounting system and assist the district’s independent auditor and auditors from outside regulatory agencies. Process union dues and assist with any changes to deductions. [Monthly, 5%]
- Work in partnership with Colorado PERA to ensure 6-month certifications are completed and employee verifications are submitted in an efficient manner. [Annually, 3%]
- Perform other related duties as assigned or requested. [Daily, 5%]
- High School Equivalency (HSE) diploma
- Payroll, accounting, accounts payable, purchasing, banking/loan servicing, or human resources experience
- Basic knowledge of typical office equipment such as telephones, copiers, fax machines, email, etc.
- Basic knowledge of federal, state, and local tax laws and statutes
- Basic knowledge of W-2/W-4 process and verification
- Basic knowledge of payroll operations, processes, and software
- Basic knowledge of ADP processing in either payroll or tax filings
- Basic knowledge of Microsoft Office, Word and Excel
