We are seeking a dedicated and organized Property Management Administrative Assistant to join our team. Duties
- As a property management administrative assistant, you will provide administrative support to management for both residential and commercial departments.
- Assistance with answering phones, distributing correspondence.
- Tracking & processing receivables and payables.
- Scheduling appointments, showings, processing applications.
- Responding to correspondence including emails & text.
- Helping to prepare reports and financial information, gather job quotes.
- Market properties to prospective tenants.
- Maintaining files, leases, and contracts.
- Communicate with tenants regarding delinquency, property issues and maintenance scheduling.
- Coordinate with vendors, prospects, tenants and maintenance for multiple apartment communities and commercial buildings and centers.
- Completing various other tasks, as necessary.
Qualifications
- Proven experience as an administrative assistant or in property management is preferred.
- Strong customer service skills with the ability to interact positively with tenants, vendors, and colleagues.
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel) Canva, Google docs, Social Media platforms and know or learn property management software AppFolio.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and organizational skills for maintaining accurate records.
- Ability to work independently as well as part of a team.
- Experience with clerical duties such as filing, typing, and data entry is highly desirable.
