About The Role: Administrative Coordinator
The Administrative Coordinator works alongside our team and stakeholders to coordinate daily, on-the-ground operations. Acting as a liaison between staff, vendors, and consultants, this role handles a range of administrative and operational tasks, including:
- Vendor coordination
- Printing and mailing logistics
- Assistance with reports, summaries, and grants
- Managing incoming emails and phone calls
- Data collection and organization
- Supporting residential, business, and development functions.
- Overseeing back-office operations
- Becoming familiar with Cornell’s donation system and processing mailed-in donations
- Reserving spaces for events
- Managing bill pays for vendors and rental charges for residents
- Handling other administrative tasks as assigned.
Duties regularly involve local pick-ups and deliveries, so reliable transportation is required. Digital fluency across multiple platforms and a willingness to coordinate with remote staff are essential. The chosen candidate will attend regular team meetings and one-on-one meetings with the Executive Director.
Who We are Looking for: The Ideal Candidate
The ideal candidate would be a college graduate who has strong business, technology, and administrative experience with a flexible mindset to navigate fluid administrative priorities. Must have a team-oriented mentality and a willingness to be teachable, adaptable, and step in where necessary to support the team. Must have excellent communication skills, be detail-oriented, and have warm people skills. Prior experience with campus ministry and/or church management is beneficial but not required.
This position will support the overall mission of Chesterton House and requires agreement with the Chesterton House statement of faith and conduct as an orthodox confessional Christian organization with traditional Biblical views on issues including gender and sexuality. Candidates must also be able to transcend ideological divides and work constructively with others who have differing views from our organization as well, as we aim for a merely Christian unifying connection across denominations and theological convictions.
Starting Date, Location, and Hours:
Role to start in April 2025.
This position will typically work during traditional work hours, but the ideal candidate should be flexible to work some occasional weekend and evening hours for special events as needed. Candidate must live locally and be present for in-person work, although some work may be completed remotely.
Required Qualifications:
- Must be 18 years or older.
- Must be willing to work a flexible in-person schedule.
- Must be willing to utilize a personal vehicle to complete local pick-ups and deliveries. (Mileage expenses for tasks not related to daily commute will be reimbursed.)
- Bachelor’s degree required.
- Digital fluency and willingness to master the platforms used by the organization. (Salesforce, Flodesk, Google Suite, Slack, Zoom, etc.)
- Strong written and verbal communication skills.
- A warm and enthusiastic team player who can adapt to changing needs, communicate regularly (even over-communicate), meet deadlines, and be punctual and reliable. Able to take initiative and work independently. Our organization is akin to a small startup where roles and tasks are often fluid and need to dynamically adjust with a fast-changing environment.
- Agreement with Chesterton House Statement of Belief and Practice.
- Ability to work together across a wide variety of Christian denominational and doctrinal differences.
- A robust personal faith walk, demonstrated through private spiritual disciplines and active involvement in a local orthodox and confessional Christian church.
- Must provide pastoral references from clergy or lay leaders
Desirable Qualifications:
- Prior ministry experience (e.g. with churches or campus ministries).
- Substantial background in administrative work.
- Prior experience coordinating with vendors.
- Prior customer-facing experience.
- Prior experience with Salesforce and Flodesk.
- Prior back-office business experience.
- Able to provide professional references.
- Some familiarity with intentional Christian community, the Christian intellectual tradition.
