Job Summary:
The Dental Front Desk Receptionist is responsible for managing the front office functions, including greeting patients, scheduling appointments, handling billing and insurance, maintaining patient records, and ensuring a smooth, organized workflow. This position requires excellent communication and organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
- Patient Interaction:
- Greet patients warmly and provide excellent customer service.
- Check in patients for appointments, verifying insurance and personal information.
- Answer phone calls promptly and professionally, responding to inquiries, scheduling appointments, or redirecting calls as needed.
- Maintain a positive and professional demeanor when interacting with patients, families, and visitors.
- Appointment Scheduling:
- Schedule, confirm, and reschedule patient appointments according to office policies and availability.
- Remind patients of upcoming appointments via phone calls, emails, or automated reminder systems.
- Maintain an organized and efficient appointment calendar for dental providers.
- Patient Records Management:
- Ensure that patient records are accurately updated in the practice management software (including personal, insurance, and medical history).
- Collect, file, and manage patient forms, insurance cards, and other relevant documents.
- Ensure patient confidentiality in compliance with HIPAA regulations.
- Insurance Verification & Billing:
- Verify patient insurance information, including eligibility and benefits.
- Explain insurance benefits, coverage, and payment options to patients.
- Collect co-pays and outstanding balances at the time of visit.
- Assist with insurance claim submissions and follow up on unpaid claims.
- Process patient payments and handle financial transactions.
- Administrative Duties:
- Maintain a clean and organized front desk and waiting area.
- Manage office supplies and order new supplies as needed.
- Prepare and maintain necessary office paperwork, including patient charts, treatment plans, and reports.
- Assist with any administrative or clerical tasks required by the office manager or dental team.
- Patient Care Coordination:
- Assist patients with post-treatment instructions or paperwork.
- Coordinate referrals to specialists or additional dental services as required.
- Maintain open communication with dental providers and other team members regarding patient needs.
- General Office Support:
- Assist with incoming and outgoing mail, faxes, and emails.
- Provide general office support including data entry, filing, and organizing patient files.
- Maintain and organize office scheduling systems.
Required Skills and Qualifications:
- High school diploma or equivalent; additional education or certification in office administration, medical office management, or dental assisting is a plus.
- Previous experience in a dental office or healthcare setting is preferred.
- Knowledge of dental terminology and procedures is an advantage.
- Strong organizational skills and the ability to multitask effectively.
- Excellent communication skills, both written and verbal.
- Ability to work with dental practice management software (e.g. Open Dental).
- Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Attention to detail and accuracy in handling patient records and billing.
- Ability to maintain patient confidentiality and adhere to HIPAA regulations.
- Friendly, patient-oriented demeanor with strong customer service skills.
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
Expected hours: 33 – 40 per week
