What are the responsibilities and job description for the Human Resources Assistant position at Chestnut Dental?

We are seeking a driven, professional HR Assistant to provide HR expertise and support to its three offices in Needham, Franklin and Bedford with general supervision from our outside HR company. The candidate will be based in the Franklin office and will divide his/her time amongst the three offices.
The Human Resources Assistant will handle all staff aspects of Human Resources at Chestnut Dental Associates including supporting managers with the hiring and onboarding processes, administering benefits, payroll administration, records retention and compliance and acting as a resource to employees and managers.
The Human Resources Assistant will work closely with our Operations Manager, Administrative Partner, and our outside HR consultant group (Integrated HR, Inc., who will provide support primarily for partner-related topics and other items as needed).
Hiring, New Hire and Orientation Process
- Support managers with recruiting by streamlining the process and helping with sourcing, screening and selecting new hires; ensure a seamless process and positive experience for new hires
- Prepare offer letters for new hires
- Conduct orientation meetings and review all necessary paperwork and benefits information with new hires
Compensation, Payroll & Benefits
- Help with processing payroll and maintaining payroll records; processing benefit deductions, retirement contributions and tax and other payroll deductions
- Work with leadership on bonus calculations and payouts for employees
- Administer benefit plan enrollment, implementation and maintenance, ensuring compliance with all applicable laws and regulations
- Work with benefit plan representatives and the benefit broker to ensure the proper and responsible maintenance of benefit plans
- Lead open enrollment communication and implementation (in connection with administrative partner
- Organize annual benefit meeting for all employees describing benefit offerings, including any plan changes
- Create and manage communications plan for open enrollment
- Work collaboratively with benefits broker to research and choose/renew appropriate benefit plans
- Communicate with and educate employees regarding benefit plan information, changes, and regulations
- Create and maintain communication vehicles for employees to access information
- Answer questions and provide assistance to employees with benefits clarification and problem resolution
- Work to continuously improve the payroll and benefit process
Employee and Management Support
- Provide the highest level of service to employees and managers, including acting as a resource when they need support and/or have questions regarding HR practices, policies, benefits or payroll
- Support managers through the performance management process, troubleshoot employee relations problems and/or provide recommendations on disciplinary steps to address employee issues
- Work with/lead our employee engagement committee on various initiatives including a monthly employee spotlight, our annual staff appreciation party, staff lunches, staff morale events like an Ice Cream Truck at each office, and other existing and new ideas.
- Establish and maintain excellent professional relationships with employees
- Conduct employee exit interviews to solicit feedback and ensure employee has all necessary information upon departure
Risk Management and Compliance
- Ensure compliance with and maintain up-to-date knowledge of all HR related federal and state legal requirements
- Maintain personnel files and records and ensure proper documentation is completed for employees at hiring, during tenure, and at termination
- Gather data, analyze and prepare annual filings related to Affordable Care Act, Medicare and other documents as needed
- Collaborate with leadership to develop and administer employee policies and practices, and to update and maintain the employee handbook as needed
- Administer FMLA and MMLA leaves, EEO records, unemployment claims, COBRA filings, disability claims, hiring and termination processing, and other routine functions
Requirements:
- Human resources experience in a broad range of areas including recruiting, onboarding, benefits, compensation and employee relations preferred but not required
- B.S. in Human Resources, Business or related field
- Strong interpersonal and communication skills, perceived as approachable by colleagues, understands importance of confidentiality of role
- Familiarity with health care reform legislation and company requirements for compliance
- Technically savvy, including experience with large databases and intermediate Excel skills
