Position: Inventory & Fulfillment Specialist
Pay Range: $50,000 - $60,000, depending on the candidate's experience and skills
Location: Hybrid
This hybrid position is based in New York City, with 3–4 days per week required on-site at our inventory and fulfillment space in the Bronx, NY. The remaining days may be worked remotely, providing flexibility while maintaining close collaboration with our operations team. Candidates must be based in or able to regularly commute to the NYC area.
This role may also require occasional on-site visits to client locations within the region to support hardware deliveries, setup, or quality assurance checks.

This role includes occasional supervision of part-time assembly support staff. The Inventory & Fulfillment Specialist assigns tasks, ensures quality standards are met, and provides guidance during peak fulfillment periods or large orders.

Responsibilities
Inventory & Vendor Management
- Oversee the inventory management process, including tracking stock levels, forecasting inventory needs, and maintaining storage organization.
- Build and maintain relationships with vendors to secure favorable pricing, volume discounts, and timely delivery of hardware products.
- Conduct regular cost analyses and explore new vendor options to improve margins.
- Ensure inventory accuracy through regular audits and quality inspections.
- Manage the end-to-end order fulfillment process, including packaging, shipping, and tracking of client orders.
- Oversee the creation and maintenance of packaging guidelines and ensure all orders are quality-checked before shipment.
- Identify and implement process improvements to streamline order preparation and shipping workflows.
- Develop and maintain detailed records of shipping costs, fees, and vendor performance for analysis.
- Own and update QA documentation and processes for hardware testing.
- Ensure all hardware is assembled, tested, and prepared according to QA standards before shipment.
- Collaborate with the Client Success team to collect feedback on packaging quality and improve client satisfaction.
- Partner with Sales, Client Success, and Product teams to proactively address client needs, anticipate and mitigate potential issues before they escalate, and propose practical solutions.
- Provide project management support, including coordinating logistics and inventory needs.
- Lead initiatives to optimize operations, including enhanced key performance indicator (KPI) tracking.
- Take ownership of ongoing cost analyses and present recommendations to leadership to improve margins.
- 1–2 years of experience in inventory management, order fulfillment, logistics, or a related operations role
- Strong attention to detail and a commitment to maintaining high-quality standards
- Ability to lift and move boxes (up to 50 lbs) and work comfortably in a warehouse or fulfillment setting
- Excellent organizational and time management skills—able to prioritize tasks and meet deadlines
- Strong problem-solving skills with a proactive, solutions-oriented mindset
- Experience using basic tools like Google Sheets or Excel for tracking and reporting
- Comfortable working both independently and as part of a collaborative team
- Willingness to be on-site 3–4 days per week in the Bronx and occasionally visit client locations as needed
- Clear and professional communication skills, both written and verbal
