We are looking for a detail-oriented and proactive Human Resources Coordinator to join our growing team in our Bolingbrook, IL facility. The Human Resources Coordinator will play a crucial role in supporting various HR functions, including but not limited to being the central communications figure in the office, processing of weekly payroll for both union and non-union employees, recruitment, onboarding, new hire orientation, maintaining employee files and general HR administration. The ideal candidate will possess excellent organization and communication skills, and a passion for fostering a positive work environment.
Key Responsibilities Include
Front Office:
- Greet visitors and answer incoming calls.
- Maintain internal phone list for all CEP locations.
- Keep the reception area, copy room, and conference rooms in an orderly and clean fashion.
- Maintain inventory of supplies/equipment/company forms in copy room.
- Distribute incoming mail and coordinate outgoing mail (incl. UPS, FedEx, Courier Services).
- Maintain internal mailboxes in copy room with active employees.
- Send mailbox contents to remote employees as needed.
Human Resources:
Payroll/Benefits Administration

- Review timecards to ensure all hours are calculated correctly.
- Responsible for running weekly payroll for exempt, non-exempt, and union employees.
- Deduct, record, and remit all union deductions (pension, health, dues, etc.) to appropriate union.
- Assist with the administration of employee benefit programs, including health insurance, retirement plans, and leave policies.
- Reconcile payroll to benefit invoices monthly.
- Assist with open enrollment, providing support to employees with benefits-related questions.
Recruiting and Onboarding
- Assist in posting job vacancies on job boards, company websites, and social media platforms.
- Screen resumes, schedule interviews, and conduct initial phone screenings.
- Coordinate the onboarding process for new hires, including orientation and training schedules.
- Prepare and process new employee paperwork, ensuring all documents are completed accurately.
Employee Relations
- Serve as point of contact for employee inquiries and provide support on HR-related matters.
- Assist in resolving employee concerns and escalate issues to Director of HR as necessary.
- Help with the planning of employee engagement activities and events to promote a positive workplace culture.
Compliance and Records Management
- Maintain HRIS data quality/integrity, confidentiality, and reporting.
- Maintains employee records ensuring data accuracy and confidentiality.
- Prepare and submit necessary reports related to HR functions and compliance.
- Maintain accurate paper/electronic human resources files, records, and documentation.
- Performs periodic audits of HR files and records to ensure all required documents are collected and filed appropriately.
Safety
- Promote a culture of safety within the organization.
- Assist in the development and implementation of workplace safety programs and policies.
- Investigate workplace accidents and incidents and assist in developing corrective actions.
- Maintain and update safety records and documentation.
HR Projects & Initiatives
- Contribute to the development and implementation of HR projects and initiatives aimed at improving HR processes and employee experience.
- Assist in conducting research and compiling data for various HR reports and presentations.
- Performs other duties as assigned.
Required Skills/Abilities:
- Excellent interpersonal, verbal, and written communication skills.
- Strong organizational skills, detail-oriented with a proactive approach to problem-solving.
- Working understanding of HR principles, practices, and employment laws.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to be a self-starter who is flexible and thrives in a dynamic fast-paced environment.
- Experience utilizing the latest sourcing tools and methods (Internet search, Indeed, Chrome and browser extensions, Social Media, etc.)
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficient in MS Office Suite and HRIS systems.
- Experience with payroll related software (Paylocity experience a plus).
Education and Experience:
- Bachelor’s degree in human resources or related field and/or equivalent experience.
- 1-3 years of experience in a human resources role preferred.
