Job Purpose
The Project Coordinator at Chicago Scenic Studios plays a vital role in supporting the Project Management team in the successful execution of scenic design and production projects. This position provides administrative and operational support to ensure seamless day-to-day operations within the project management department, contributing to the creation of innovative and high-quality scenic solutions.
Duties and Responsibilities
- Assist Project Managers in researching and procuring materials, products, and services.
- Track project deliverables and timelines in collaboration with the procurement team.
- Compile, organize, and complete project-related documentation.
- Serve as a notetaker and organizer during meetings and briefings.
- Act as a liaison between internal teams, clients, and vendors.
- Manage multiple tasks under tight deadlines.
- Organize and maintain purchase orders and project records.
- Perform on-site work occasionally.
- Perform additional duties as assigned.
Qualifications / Skills / Requirements
- Proven ability to collaborate in a fast-paced environment.
- Exceptional verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Outstanding organizational and time management abilities.
- Problem-solving skills and ability to adapt under pressure.
- Quick learner with understanding of scenic design and production.
- Proficiency in Microsoft Office.
- Experience and Procurement Software a PLUS but not a requirement.
Education / Experience
- Bachelor's degree in a related field (e.g., project management, theater production, design, or business) or equivalent professional experience. • Previous experience in project coordination or related industries is a plus.
Working Conditions / Physical Requirements
- Work is primarily performed in an office setting. • Occasional visits to client sites or production facilities. • Requires moderate physical activity and the ability to lift up to 25 pounds.
