Job Title: Project Coordinator

Reports To: Doug Pokorny - VP of Projects

Location: Chicago Scenic Studios, Chicago, IL

Employment Type: Full-Time | Status: Exempt

Job Purpose

The Project Coordinator at Chicago Scenic Studios plays a vital role in supporting the Project Management team in the successful execution of scenic design and production projects. This position provides administrative and operational support to ensure seamless day-to-day operations within the project management department, contributing to the creation of innovative and high-quality scenic solutions.

Duties and Responsibilities

  • Assist Project Managers in researching and procuring materials, products, and services.
  • Track project deliverables and timelines in collaboration with the procurement team.
  • Compile, organize, and complete project-related documentation.
  • Serve as a notetaker and organizer during meetings and briefings.
  • Act as a liaison between internal teams, clients, and vendors.
  • Manage multiple tasks under tight deadlines.
  • Organize and maintain purchase orders and project records.
  • Perform on-site work occasionally.
  • Perform additional duties as assigned.

  • Proven ability to collaborate in a fast-paced environment.
  • Exceptional verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Outstanding organizational and time management abilities.
  • Problem-solving skills and ability to adapt under pressure.
  • Quick learner with understanding of scenic design and production.
  • Proficiency in Microsoft Office.
  • Experience and Procurement Software a PLUS but not a requirement.

Education / Experience

  • Bachelor's degree in a related field (e.g., project management, theater production, design, or business) or equivalent professional experience. • Previous experience in project coordination or related industries is a plus.

Working Conditions / Physical Requirements

  • Work is primarily performed in an office setting. • Occasional visits to client sites or production facilities. • Requires moderate physical activity and the ability to lift up to 25 pounds.
