The Receptionist serves as the first point of contact for visitors and clients, providing exceptional customer service and administrative support. This role is responsible for managing front desk operations, including greeting guests, answering and directing phone calls, handling inquiries, and maintaining a welcoming and organized reception area. The Receptionist also supports various departments with clerical tasks, scheduling, and communication to ensure efficient daily operations.
Responsibilities:
- Answer very busy multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself.
- Greet patients upon arrival, sign them in, and obtain insurance information and any other necessary data.
- Provide patients with intake and new patient forms, as well as copies of our office policies and legally required documents.
- Process patient payments for co-pays, deductibles, co-insurance, and uninsured visits.
- Schedule appointments for new and recurring patients based on Physician and Technician availability.
- Ensure the confidentiality of patient records in accordance with HIPAA (Health Insurance Portability and Accountability Act) regulations.
- Ensure all referrals are obtained prior to appointment time.
- Travel may be required to other clinic sites as needed (Lombard & Chicago). Reliable transportation is required.
- Other duties as assigned.

- Computer literacy in MS Office (Word, Excel, PowerPoint, Outlook).
- Familiarity with electronic medical record (EMR) systems like Nextech is a plus.
- Strong diction skills and the ability to communicate clearly.
- Exceptional customer service and excellent phone skills are mandatory.
- Strong attention to detail and accuracy in all tasks.
- Adaptable, highly motivated, and able to work independently.
- Strong organizational and time-management skills.
- Familiarity with healthcare regulations, medical law, and HIPAA compliance.
- Bilingual proficiency (English/Spanish) preferred.
