Role:



An important position in the Lending Team, an individual in this role is responsible for preparing loan documents for closing and ensuring all loan files are accurate and ready for auditing. In addition, this person

meets all of the department’s clerical needs and keeps the department logs and reports updated daily. This individual will maintain a strong knowledge of Credit Union procedures and compliance requirements to provide

outstanding service and mitigate exposure through file integrity.




Essential Functions:



  • 50% Prepare direct loan documents for closings and correspond with members to gather any necessary supporting documents. Handle the funding and disbursement processes. Create loan files and

    ensure all documents are accurate and included as necessary. Assist with conducting effective loan audits on all booked loans in a timely manner.

  • 25% Handle all daily department clerical needs efficiently and accurately. These include insurance requests, filing title work with Secretary of State, inbound and outbound mail, internal and

    external calls, emails, and text communication with other departments, members, and vendors.

  • 15% Maintain accurate daily department logs and reports. Assist in any department projects or

    assignments as needed.

  • 5% Provide assistance to other departments as needed; including but not limited to title processing

    and mortgage discharges, release of liens.

  • 5% Perform other job-related duties as assigned.



Performance Measurements:



  • Contribute to a cohesive, highly trained, motivated team sufficient to meet daily department demands.
  • Support the Direct Lending Loan Officers in all sales targets and outcomes within schedule.
  • Process all department clerical needs and requests promptly, accurately, and professionally.
  • Prepare and maintain all direct loan documentation and title work accurately and apply appropriate problem solving measures for missing or inaccurate documents.
  • Conduct loan audits on all direct loans within established timelines.
  • Maintain member account security and accuracy, following all applicable Federal, State and Credit Union regulations, policies, and procedures, including updating records and processing requests with minimal error.
  • Amplify member experience by providing prompt, informed, professional, and accurate service/support in alignment with established quality service guidelines.
  • Troubleshoot and resolve member and internal inquires accurately and promptly to accomplish first-contact resolution standards.
  • Resolve problems within authority guidelines; Escalate inquiries to the appropriate supervisor accurately when all measures within position authority have been attempted and issue resolution is not possible.
  • Respond promptly to all internal and external communications, including but not limited to, email, messages, and other correspondence.
  • Suggest enhancements to the processes and procedures of the department to achieve greater efficiency; Regularly report to leadership regarding departmental needs and key operational issues.
  • Develop and maintain a strong knowledge of Credit Union products, services, and procedures.
  • Lead by example, ensure compliance with all applicable Credit Union policies, procedures, regulations; including but not limited to, upholding integrity and transparency, maintaining a reliable record of attendance and timeliness, and keeping a professional work environment and businesslike appearance.
