The Operations Assistant is an assistant to the Director of Operations and Executive Director and fulfills the receptionist duties for the organization. He/she works within the organization's guidelines, policies, and mission and will be accountable and responsible for specific projects as assigned. As the first interaction the public has with the organization, this position requires a positive demeanor and attitude.
Duties and responsibilities
General
- Answers all incoming calls. Deals with inquiries and re-directs calls appropriately.
- Processes, distributes, and sends out mail.
- Greets all guests, ensures they are comfortable while advising appropriate staff that guest is waiting.
- Handles communication by telephone, fax, and email.
- Maintains a binder of current administrative procedures.
- Manages records of company policies and procedures.
- Manages routine facility maintenance.
- Keeps the office and waiting areas neat.
- Receives and processes donations of cash and in-kind.
- Records cash, and in-kind receipts in database.
- Produces thank you letters for all donations.
- Provides database entry and back-up.
- Assists the Director of Development with supervision of office volunteers.
- Manages supply levels and reorders when necessary.
- Cleans and maintains computer equipment and copier.
- Assists with special projects and events, as assigned.
- Assists the agency in preparation of licensing and accreditation status.
- Attends and records CAPA board of directors, committee, and staff meetings, as assigned. Collects and maintains committee and board of directors meeting minutes.
- Maintains organizational calendar and notifies staff and board of directors of meetings.
- All other tasks required for the smooth and efficient running of the office.
Miscellaneous
- Maintains confidentiality requirements of the agency.
- Performs any other related duties as may be necessary to the functioning of the agency or at the request of the Executive Director or senior management team.
Qualifications
- High school diploma or equivalent required; some college preferred.
- Strong organizational skills and attention to detail are vital, as is the ability to work with multiple timelines, deadlines, and project details.
- Must have excellent verbal and written skills
- Ability to work independently and as part of a team
- Sound computer skills, including Word, Excel, and database management
- An understanding of the non-profit, voluntary, and social services sector
- Must have the ability to interact professionally with staff, clients, vendors, and the general public.
- Ability to climb stairs and ladders, bend, crouch, and lift 50lbs. May require long periods of sitting and standing.
- Must be bondable
- Must be 21 years or older
- Ability to work flexible hours
- Access to reliable transportation, valid driver's license, approved insurance coverage (to include being approved by CAPA's automobile insurance carrier), and clean driving record
- Must have no criminal record
- Must have no history of substantiated child abuse or neglect
