Job Summary
CLINIC OPENING SOON! Looking for (2) Receptionist. One from 9 - 5, the second from 12 - 8. The receptionist is an essential part of the mental health clinic's team, facilitating client access to services, supporting administrative functions, and contributing to a positive client experience. This role requires strong organizational skills, attention to detail, and a commitment to providing compassionate and efficient service to clients and visitors. Under the supervision of the practice manager, this position involves managing front desk operations, handling inquiries, scheduling appointments, and supporting administrative tasks to ensure smooth clinic operations.
Duties
- Greet clients and visitors with a friendly and professional demeanor requiring empathy, patience, and professionalism.
- Collects co-payment, supports financial intake of new clients, and screens clients for program eligibility, including ability to triage needs to clinic leadership.
- Answer phone calls, emails, and in-person inquiries promptly and courteously.· Provide information about clinic services, policies, and procedures to prospective clients and community stakeholders.
- Schedule and confirm client appointments using electronic scheduling software.
- Coordinate with clinicians and therapists to ensure accurate scheduling and efficient use of clinic resources.
- Manage cancellations and rescheduling requests in accordance with clinic protocols.
- Assist with administrative tasks such as filing, faxing, scanning, and data entry.
- Maintain patient records and ensure confidentiality of sensitive information in compliance with HIPAA regulations.
- · Prepare and distribute documents, reports, and correspondence as needed to support clinical operations.
- · Process client payments, co-payments, and insurance information accurately.
- · Verify insurance coverage and assist clients with billing inquiries or financial assistance options.
- Collaborate with billing department to resolve payment issues and discrepancies.
- Monitor and maintain the cleanliness and organization of the reception area, waiting rooms and shared spaces throughout the clinic.
- Ensure adequate supply of office materials, forms, and brochures for clients and staff.
- Collaborate with clinical and administrative teams to address client needs and concerns effectively.
- Attends and participates in Agency and program/team meetings, and related community Agency meetings as required/requested.
- Other duties as assigned.
Requirements
- Bachelor’s degree preferred; Associate’s degree considered. Substantial (5 ) years) office receptionist experience may be considered in lieu of a professional degree. Additional education or training in office administration is a plus.
- Previous experience in a medical or mental health setting preferred.
- Proficiency in using office equipment such as computers, multi-line phone systems, and electronic medical records software.
- Strong interpersonal and communication skills, both verbal and written, with the demonstrated ability to interact with healthcare professionals, clients, and insurance companies.
- Ability to prioritize tasks, multitask, and work efficiently in a demanding and fast paced environment.
- Sensitivity to the needs of clients seeking mental health services and respect for confidentiality.
- Commitment to cultural humility, sensitivity to diversity, and advocacy for client needs.
- Bilingual preferred.
