The Executive Assistant is a detailed-oriented administrative professional who supports the Chief Executive Officer and other members of the Executive Team through effective execution of wide-ranging and multi-faceted administrative duties and projects. The EA proactively and independently performs a full range of administrative tasks involving a high level of confidentiality and responsibility and possesses the ability to function autonomously in a dynamic business environment. The EA leverages exceptional organizational and communication skills, with the utmost discretion and professional conduct.
Qualifications:
- Associates degree required, Bachelor’s degree preferred. Five or more years of equivalent work experience supporting C-level Executives may be considered in lieu of a college degree
- A minimum of 3 years professional experience in comparable roles. Experience working with C-Suite executives required. Prior experience working with a Board of Directors a strong plus. Must demonstrate the ability to interact effectively with high level contacts inside and outside the organization.
- Possesses strong ethical behaviors and the integrity necessary to handle highly sensitive or confidential matters appropriately and with strictest confidence. Has excellent judgment, poise and professionalism
- Demonstrated strong project management skills and the ability to handle multiple projects simultaneously. Appreciates and enjoys bringing a high-level of detail and accuracy to all tasks
- Technology adopter with proficiency in Microsoft Office Suite applications
- Keen ability to anticipate future needs and take ownership for driving tasks forward
- Natural problem solver with a bias to action
- Intellectually motivated and achievement oriented
Responsibilities:
The following responsibilities are not meant to be all inclusive and may be adjusted to meet the agency’s needs
- Proactively supports the CEO in management of her business calendar, scheduling meetings, planning and supporting meetings, agency events, and other engagements. Provides support in responding to communications for the CEO as needed
- Takes initiative to follow up on deadlines and commitments and initiates appropriate action to ensure the most effective use of CEO time and work schedule
- Establishes and maintains effective systems for managing tasks and projects and securely maintains privileged documents and information with the strictest confidentiality.
- Manages details for executive level meetings including calendar invitations, communications, refreshments, agendas, meeting minutes, action items and securing space and room setup for in-person meetings.
- Supports Board meetings and Board Committee meetings with administrative duties including calendar invitations, planning and scheduling meetings, monitoring attendance, taking meeting minutes and distributing BOD meeting materials in advance of meeting dates
- Assists the CEO in the creation and distribution of presentations and other written or digital communications for both internal and external audiences
- Performs general office tasks including ordering supplies, greeting employees and visitors, and coordinating with Facilities Manager on facility related matters as needed
- Takes responsibility for additional tasks and new initiatives, as requested by the CEO and other Executive Team members, with a willingness to assist in the spirit of teamwork and cooperation
