Position Summary : The Assistant Director, Payroll reports directly to the Payroll Director and supports the Director in various recurring tasks, periodic activities, and special projects. This role ensures the department’s smooth operation and the processing of biweekly payroll for Children’s Aid (CA) and its affiliates. Responsibilities include processing bi-weekly payroll, calculating salaries and allowances, managing new hires and terminations, overseeing the time and attendance system, and ensuring compliance with DOL and TMHR regulations.
Essential Duties :
- Understand and promote the organization’s Mission, Vision, and Core Values to ensure alignment with organizational policies and procedures.
- Process and oversee the bi-weekly payroll for all sites, ensuring accuracy of timesheets and paychecks.
- Review and process payroll payments, including reimbursements.
- Manage monthly Foster Parent disbursements and maintain payment details in the payroll system.
- Process Personnel Action Notices (PANs) for all employees across the organization.
- Create ad hoc payroll reports to support internal and external reporting needs.
- Coordinate with multiple departments each pay period to ensure proper documentation is submitted.
- Update time and attendance tracking information for staff changes and policy updates.
- Sort and distribute paper paychecks and rosters.
- Submit requests to Accounts Payable for stop payments and replacement checks.
- Research and rectify adjustments or incorrect payments.
- Assist with various audits, providing reports and support as needed.
- Maintain records for all pay lag recoupments.
- Provide customer service to staff, responding to inquiries and resolving issues.
- Supervise the Payroll Assistant in the Payroll Director’s absence.
