About the Position: The Executive Assistant provides direct administrative support to the Chief Executive Officer (CEO), serving as the point person for all scheduling and coordination needs. Under supervision from the Senior Manager, Partnerships, the Executive Assistant also helps Childrens Funding Project build and maintain relationships with current and potential partners, clients, and funders through relationship management, knowledge management, and communications tasks.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Support the CEO with administrative tasks including calendar management and scheduling with internal and external partners
- Build and maintain contact lists and track updates on organizational relationships in a Customer Relationship Management (CRM) database
- Assist with assessing, triaging, and responding to outreach from potential clients and partners
- Coordinate and help prepare for meetings, presentations, and events with external audiences
- Contribute to knowledge management and cross-teams communications through documentation, file organization, CRM updates, and coordination of daily staff check-ins
- Draft written communications and other documents such as PowerPoint slide decks, meeting agendas, meeting notes, emails, and internal/external CEO communications
- Support the CEO and Partnerships Team with special projects as needed
Supervisory Responsibilities: There are no supervisory responsibilities for this position.
Experience: At least two (2) years of administrative work experience, preferably in a non-profit environment or supporting senior-level leadership, and/or post-secondary or early career experience in direct service, policy, community organizing, or related field.

Computer / Technology Skills: Proficiency with Microsoft Office and Google Suite (e.g., using Gmail, Google Docs, Microsoft Outlook, Microsoft Excel, Microsoft PowerPoint).
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to use hands to touch or feel a computer, keyboard, monitor, telephone/smartphone, and talk or hear when interacting with employees and/or external parties. The employee is frequently required to stand, walk, and sit. The employee is occasionally required to reach with hands, arms, and/or lift 15 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
Location: Remote with the ability to travel on occasion. Washington, DC area preferred.
Start Date: April 2025, to be negotiated.
Compensation: This position falls into the Assistant level of our salary structure. Starting compensation will be between $47,000 and $52,000, commensurate with skills, experience, and internal equity.
