A Brief Overview

This role will lead aspects of the financial oversight, participate in business development activities, and serve as the primary administrative for the department. This position will cultivate and strengthen relationships with key internal stakeholders as well as key external partners and clients at both on local and national levels.

The major responsibility will be to provide administrative budgetary and financial oversight including determine budgetary framework and future programmatic growth, with an emphasis on fiscal benchmarking from internal and external funding sources and performance monitoring with the strategic goals and overall objectives. Responsibilities also include assessments involving research projects, including identification and management of grant and contract opportunities and of multicenter studies and translational research activities; budget preparation, revision, and reconciliation process; recruitment and retention of research-related administrative support; operations; process improvement; tracking of timelines and preparation and submission of reports. This role will provide guidance and input on training and compliance needs, and serve as a central resource for all department staff.

What You Will Do

  • Business Development
  • Partner with leadership to seek out new, innovative research collaborations and grant funding opportunities.
  • Operations and Management for department:
  • Develop database of all external and internal funded program.
  • Serve as liaison to Operations and our strategic partners.
  • Oversee the creation of reports and monitor all aspects of the budgets in coordination with research administration.
  • Assist with implementation of new research applications for investigators.
  • Develop and maintain tools, processes, programs, and standard operating procedures (SOPs) designed to support the conduct of the research and monitor its success and/or return on investment.
  • Provide reports to the director on Core and Faculty benchmarks.
  • Oversee billing operations of the department.
  • Assist the Directors with programmatic development issues and hiring of staff.
  • Collaborates with academic affairs and Chairman of appropriate Departmental Office on faculty searches and onboarding.
  • Collaborate with internal and external collaborative investigators on research and clinical budgets.
  • Provide monthly updates on Core activity to leadership.
  • Review/screen potential applicants for support staff.
  • Assist with grants management and submission.
  • Provide administrative leadership and support.
  • Provide administrative leadership and oversight to faculty and staff.
  • Function as the expert for all aspects of the administration infrastructure supporting administration queries/issues.
  • Collaborate to develop, organize, maintain, and manage the infrastructure and resources necessary for supporting a growing center with exceptional cores and an expanding faculty base.
  • Provide assistance in the recruitment and onboarding of new faculty and staff.
  • Help maintain updated faculty bibliographies.
  • Financial Management/Budgets/Purchasing
  • Provide oversight of the financial management of all sponsored grants and contracts in compliance with hospital policies, project deliverables and funder regulations.
  • Coordinate the preparation of grant budgets and administrative components of grant applications in coordination with administrative support team.
  • Work with Research Business Managers to manage all research and administrative budgets including: all large programs and grants as well as being responsible for administrative expenses.
  • Work with lab directors on equipment service agreements, new acquisitions and maintenance needs.
  • Review and approve purchases as necessary.
  • Communications
  • Ensure seamless, efficient, and transparent processes for all administration and assist with optimization of research infrastructure.
  • Communicate with Corporate Sponsors involved in research to ensure compliance.
  • Serve as liaison between Research Administration and investigators.
  • Collect, organize, monitor and distribute information.
  • Collect, organize and submit materials as necessary.
  • Interface with outside investigators involved in research
  • Staff Development
  • Encourage and create opportunities for staff to attend/present at regional, national, and international conferences and meetings.
  • Serve as liaison to Research Finance, Internal Audit, Research Compliance and other units as necessary.
  • Develop metrics and present reports and on staff development and productivity.
  • Identify areas that are underserved and reallocate staff resources as necessary.

Education Qualifications

  • Bachelor's Degree Required
  • Master's Degree in a healthcare related field Preferred

Experience Qualifications

  • At least ten (10) years of clinical research or research administration experience Required
  • At least seven (7) years of leadership, management or supervisory experience Required
  • At least one (1) year of grant writing and/or grants management and coordination experience Required
  • At least one (1) year of financial management experience, including budget preparation and management Required
  • At least one (1) year of resource management, project management and coordination experience Required
  • At least ten (10) years of cost analysis and budgeting or sponsored projects management experience Preferred
  • At least nine (9) years of leadership, management or supervisory experience in a clinical research or academic environment Preferred
  • At least three (3) years of financial management experience, including budget preparation and management with a hospital or medical school environment Preferred
  • At least one (1) year of editing, including manuscript preparation, galleys, proofs, etc. experience Preferred
  • At least one (1) year of pediatric research experience Preferred

  • Intermediate proficiency with office software (Microsoft Office) including word processing, spreadsheet, and presentation software (Word, Excel, PowerPoint)
  • Advanced knowledge of the strategic and execution aspects of clinical and/or translational research
  • Fundamental knowledge of the grant submission process
  • Fundamental knowledge of the faculty appointment process
  • Fundamental knowledge of research, research protocols, etc. (medical school & NIH)
